Content

Choosing a Solution

For the organization of interaction between the central office and branch in Bryansk, including for exchange of legally significant documents, the decision on system implementation of EOS for SharePoint for conducting full electronic document management and the organization of joint work with documents was made. The customer purchased the server license, a set of licenses of category "Participant" and also the option "Scanning" and "Legally Significant Document Flow".

Project Progress

Specialists of Alta-SOFT company carried out all complex of works on system deployment and creation of a common information space. Works were carried out on the new version of Microsoft SharePoint Server Standart 2013 and EOS for SharePoint of version 4.0. The main maintenance of this stage of the project became:

  • automation of the main business of processes of management of documents: registration of the entering, outgoing and internal documents, approval and consideration of any documents;
  • automation business of processes on joint preparation of documents according to the carried-out analysis of features of the current document flow of the organization.

At setup of a system under specifics of document flow of the company the customer's wishes were implemented:

  • additional content types and document groups on the basis of these types are created;
  • business processes for document groups on card files are created and configured;
  • setup of jobs under features of conducting document flow is carried out to the organizations;
  • search queries are configured;
  • the system of notifications of users on new tasks on e-mail is customized;
  • the new report "The report on execution" in which data on all tasks of users and their current status are displayed is created.

Besides, the model of the homepage of the website of the company was created. Also a number of detailed instructions on work of users, registrars, heads in a system was developed. All users underwent individual training, part of them – remotely.

Result

After completion of test operation and small adjustments on wishes of the customer of EDMS it was put into commercial operation. The single system of electronic document management providing information exchange between territorially remote divisions is as a result created. It allowed to reduce considerably time for document transfer from the central office in branch in Bryansk. At the same time complete tracking of the movement of originals and copies of paper documents is conducted. Means of the EOS for SharePoint system organize collaboration in preparation of drafts of internal and outgoing documents according to the configured business processes.

Now a system works in the industrial mode. Further development of EOS for SharePoint is planned through increase in quantity of jobs and the organization of intercorporate legally significant electronic document management.
