The pilot project between Auchan and Nestle was started in June, 2013. Electronic document management of the company was begun with implementation of expanded documents on the basis of EDI messages (electronic invoices and delivery notes).
Auchan began with testing only of the electronic invoice, but then could enter in a chain and electronic waybills. "Development of the company imposes the increasing quality requirements and processing speeds of the documents received from suppliers. In this regard it was most rational to begin exchange of electronic documents with documents of delivery" — Doroshkova Victoria, the manager of department of information technologies of Auchan Russia company told.
Technical implementation of the pilot with Nestle started in August, 2013.
"The project demanded development and setup of the following functionality: formations of expanded electronic documents (the invoice, TORG-12 on the basis of the EDI message of INVOIC), the Excel file conversions with the addresses "Auchan' in the standard EDI message of PARTIN for the subsequent transfer to suppliers; settings of the web system interface of e-document flow Kontur.Diadok that the staff of "Auchan' could work with the entering electronic documents; integration with the accounting system by means of N16 (a specialized format which forms on the basis of expanded electronic invoices); hands-off processing of reports of OK/Not OK (an internal format in the IT-system) sent from the accounting system as the answer to N16" — Yury Kushpel, the head " circuit.retail " of SKB Kontur company commented.
To the middle of December, 2013 the works were completed. By April, 2014 the pilot project came to a final stage: 99% of documents are loaded without errors into the accounting system of Auchan LLC, and employees do not need to bring documents manually any more. As representatives of the company noted, the test passed successfully.
Auchan plans transfer as it is possible the bigger number of suppliers on e-document flow. Besides, in the closest plans of the company — implementation of process with the adjustment and corrected invoices, universal application of electronic TORG-2 and also integration with local archive of electronic documents.
So far, by recognition of Auchan, not all partners of the company passed to e-document flow, and therefore it is necessary to support at the same time both electronic, and paper document flow. However after an exit in productive operation cost reduction, optimization of an organization structure and business process in general is expected. Also it is planned that the staff shortage problem for work with documents for the periods of holidays or a disease of key employees will be solved.
Similar changes noted also in Nestle. "For us the project with "Auchan' became one of key in 2014 on e-document flow with clients. With implementation of e-document flow our company could reduce time of processing and passing of documents. Need to print and store documents, to recheck information since data at partners are always identical now left. At the moment our employees process documents on paper more and more in electronic form less. Their signing happens more quickly, there are no delays of shipments because of not ready documents and, in case of discrepancies, we learn about them more quickly. We look for an opportunity to transfer to an electronic form also the act on discrepancies, we hope that we together with colleagues from "Auchan' will develop it and we will implement" — Ekaterina Rogovskaya, the manager on business process optimization of Nestle company told.
