Prerequisites of the Project

To Advant system implementation projects were kept not on a centralized basis, by means of the make-shifts convenient for project participants. Interaction was organized via e-mail and an electronic document management system. This approach did not allow project team members and interested persons to trace and control quickly project statuses and extent of their accomplishment. There were difficulties with discussion of projects by e-mail – employees tightened decision making terms on important issues. Materials on already implemented projects on a centralized basis did not gather anywhere and, therefore, there was no opportunity to use the accumulated experience.

Choosing a Solution

In October, 2013 in bank the decision on creation of strategic project office was made. For support of work of project office and increase in efficiency of project activity it was decided to start the choice and system implementation of project management.

A system which would provide functions of scheduling of projects, control over an adherence to deadlines of tasks and operational management of budgets was necessary for Tatfondbank. A system had to allow to keep account of loading of resources on tasks and projects and to control this loading by means of sheets of a time recording of employees. As observance of increased requirements to security is important for banks, at a system there had to be a possibility of access isolation at the level of all system and differentiation of access rights at the level of separate objects (projects, tasks and other objects) and also an opportunity to flexibly change these rights. High requirements were imposed to simplicity of the interface, speed of training in a product of normal project participants from business divisions.

When choosing a system the management of Tatfondbank estimated three systems from the different companies integrators. Two systems were based on foreign products of the known vendor, the Russian Advanta system was the third system in the list. During the analysis the final decision was made for benefit of Advant project management system. A system not only met all stated requirements, but also had the low cost of ownership in comparison with competitors.

Project Progress

Before adoption finally of the decision on purchase of the Advanta system within two months its testing was held. During this time the staff of project office was convinced that a system is easily customized, is simple in mastering by users and is convenient in use. User training to work in a system was provided by means of the simple videocourse. Employees quickly enough began to be guided independently in a system, especially those who had a work experience in social networks since the system interface of Advanta is implemented by the principles of corporate social network.

During testing Advanta was actually implemented in bank by forces of project office with remote support of vendor.

Results

With project management system implementation Advanta project implementation within the company became much more transparent and it is more clear. A system gives proactive control opportunities project risks and allows top management of the company to obtain always up-to-date information on the executed projects. Project managers and members of project teams received a single system of control of completion dates of actions and also an opportunity to save all project materials in the single database available to all command.

The project management system of Advant allows to conduct operating control behind execution of tasks, including using the simple tool on creation of own report forms. The subscription to events of the project provides the additional instrument of change tracking. Especially valuable management of bank considers a possibility of control of the statuses of works with a request at contractors. Now the Project manager can quickly keep track of the statuses in online the report, need of separate preparation of reports on the project for different interested persons disappeared. Also there was an opportunity to accumulate the achievements of goals of projects given about degree. Their separate types, such as Post-project monitoring which reflect actions for tracking of the actual indicators of the reached profit or cost reduction for completed projects are connected with projects.

"The information system Advanta provided simple tools for formation of a complete picture of project implementation at top management and a user-friendly interface of control of accomplishment of project works for participants of project teams. The information system provides a set of tools for interactive communications, systematization and data storage about the project, formations reporting online in uniform information center. The convenience of the interface provides the minimum training costs of employees. Now we see return from implementation of this project and it is obvious that its start was strategically correct solution", – the vice chairman of the board of JSC AIKB Tatfondbank Vyacheslav Vdovin commented on results of implementation.
