The geographically distributed structure creates difficulties in interaction, especially accurate regulations in the company are not set. The chairman of the board of directors works far off, dough interacts only with lawyers of the company. Often the documents sent for approval were lost or terms of their approval exceeded the set regulations. To reduce influence of a factor of geographical distribution and to increase transparency of processes, the decision on system implementation of electronic document management of Directum was made.

Result

In 5 months it was succeeded to implement the project completely: from a research and the analysis of processes before transition to commercial operation. In addition to assigned tasks, using Directum control over order of execution of works as employees is set, the uniform archive of electronic documents is organized.

The CEO approves documents only in EDMS now and signs them with the electronic signature. The Board of Directors considers work in a system as the instrument of control over movement of contractual documentation and work on participation in tenders on electronic platforms of Russia and Kazakhstan.

At its automation special attention is paid to completion dates as the set-up time of the tender documentation is always extremely limited. And the difference in time zones between Moscow and Astana makes 2 hours.

Already today employees of institute note:

• there is an approval of agreements significantly quicker;
• it is more convenient to work from the tender documentation regarding decision making and preparation of documents.
