Docsvision implemented EDMS in JSC Southern Ural Corporation of Housing Construction and Mortgage

Goals and Objectives

For the purpose of increase in efficiency of standard tasks of office-work in 2013 the decision on system implementation of electronic document management was made. Streamlining of processing of correspondence and internal document flow and also increase in level of performing discipline in the organization was a key project task.

Choosing a Solution

Decision-making at the choice of an electronic document management system was influenced by experience of implementation of Docsvision in construction companies of Chelyabinsk by forces of specialists of HIT-Service. The HIT-Service company is engaged in implementing solutions in the field of document flow since 2001, and managed to prove as the company capable to solve any problems in the field of automation and to bring projects to a successful completion.

Project Progress

In YUU KZHSI the module of organizational and administrative document flow which allowed to unify and standardize procedures of consideration of documents, to provide transparency of passing of each document and observance of regulations on execution of documents is implemented. The project was implemented from July to December, 2013. Due to implementation of Docsvision in YUU KZHSI costs for the organization of document flow many times decreased, the efficiency of business processes and their controllability considerably increased; speed of execution of works increased. The transparency of document flow is provided, search of the necessary documentation much accelerated, control of execution of documents is organized.

Result

The positive effect of implementation affects also in the organizational plan: the head quickly obtains information on performing discipline on work with documents by the company and certain contractors, sets indicators of KPI for employees that allows to increase efficiency considerably. As a result of the done work all main objectives of the project are successfully solved. The version of a system at the time of completion of implementation in YUU KZHSI is Docsvision 5.2. Expansion of functionality and increase in number of users is planned.

In a work progress hundreds were considered if not thousands, offers from users, towards convenience the EDMS interface changed, professionalism of technical support specialists of YUU KZHSI grew. A system which is adopted by all subsidiary companies "YuU KZhSI" is as a result created.
