The company management made the decision on need of introduction of the CRM system. Preliminary ordering of processes of the company, consolidation of the accumulated experience of the best employees and their implementation in the program was additional condition. Thus, a system had to help to automate the majority of routine transactions of sales department.
Solution
The Impeltekh company which specialists have wide experience of participation in large projects of business process automation in a scale up to 1500 users was attracted to implementation of this project (including, entering in top-20 the largest implementations in the market for 2012-13gg.).
In the beginning the command of Impeltekh analyzed the current work of real estate agency and structured it. Laborious work on the analysis of model of internal business processes "was carried out as is" and separate "best practices" of work, using interviewing of all departments and employees. After that, with the guide of the Customer discussion of final proposals of consultants was carried out. A number of business processes were reviewed and accepted offers on their adjustment.
Selection of the software product became the second stage. The choice fell on domestic development of ELMA CRM due to its wide functionality and flexibility of the platform. Process of setup went iteratsionno: each two weeks were defined the purposes on the next stage of development and after its end a system was shown to the Customer for obtaining notes and amendments. Within this stage the structure of objects was gradually developed, the interface of the program is considerably finished, the main business processes are automated, jobs of users are configured.
Results
The ELMA CRM system is brought by the Customer into trial operation. The final solution allows to conduct completely all control points already now according to the transaction with clients (not to lose sight of them), to keep the analysis of dynamics in all necessary directions and also solves standard problems which arise at the head of sales department in the field of the real estate:
- consolidation of data on sellers and buyers of all agents and brokers in uniform CRM base;
- the centralized information storage on a real estate;
- process automation of sale and object search both on primary, and in secondary market of the real estate;
- measurements of efficiency of agents – quantity of calls, demonstrations of apartments, advance payments and transactions, personal "funnels of sales";
- reduction of risk of errors of agents during the work with documents.
Simplicity and the friendly interface allowed users to get used to work with a system quickly. As all work with a system is conducted via the browser, the agent can work from where it is necessary – from office, the house or on the way. All history on a real estate (on the residential complex, on the apartment, on the parking place, etc.), including calls of buyers, demonstrations and counter offers is stored in a system. In read seconds the agent can choose using a system for the client the option accepted at the price and characteristics and to plan demonstration. At purpose of demonstration a system automatically plans this event in the personal calendar of the agent and/or the residential complex. If necessary the personal calendar can be integrated with any other external Internet calendar. At each stage of work with the client, a system offers the agent available options of further actions and shows the corresponding test sheets. A system is also integrated with Yandex.Maps and allows not only to see visually the actual location of an object, but also to send the schematic map of journey to the potential client directly from a system. A set of necessary reports allows the management to control results of work, and the flexible system of setup of the rights allows to limit access for agents-trainees to information.

Also, in line process automation of work of the agency with a commercial real estate.
