EOS Group implemented EDMS "DELO" in Management of the land and property relations of the Ufa district of Bashkortostan

On November 17, 2014 the EOS Group company implemented^[1] of EDMS "DELO" into Management of the land and property relations of the Ufa district of Bashkortostan.

Choosing a Solution

System implementation of electronic document management "MATTER" in Management of the land and property relations of Administration of the municipal district the Ufa region of Republic of Bashkortostan began in 2012. Having begun with automation of registration procedures, the customer in October, 2014 made the decision on significant expansion of scope of EDMS "DELO" – its distribution on the level of divisions. The project is kept by Medialux company, the partner of EOS Group in the territory of the Republic of Bashkortostan. Desire of the customer to develop a system independently with active consulting support of specialists of Medialux became feature of a new stage.

Project Progress

Large powers of Management lead to the fact that in the course of its activity the documents significant not only for local government authorities, but also for all economy of the territory are formed. The business processes happening in the organization infringe on the interests of a general population and business community. For achievement of maximum efficiency of municipal management these processes should be optimized on time and be under strict control. Achievement of this purpose is promoted substantially by system implementation of electronic document management which even on initial stage of use (only on functionality of registration) gave the chance to arrange management of documents and to reduce costs of time for search of the necessary data.

Experience of use of EDMS "DELO" allowed the customer to make the decision on further deployment of EDMS independently. The concept implemented in EDMS "DELO" provides such method: setup of a system at its expansion does not require special qualification, and with consulting support to the implementing company specialists of the customer can independently unroll additional jobs. At this stage of the project it was required to solve a number of new problems:

• process automation of transfer of instructions to divisions;
• automation of obtaining performance reports;
• failure from transfer of paper documents for benefit of exchange of electronic;
• reduction of time for processing and passing of documents;
• optimization of work with remote divisions.

This project stage should provide gradation from classical "paper" document flow to exchange of electronic documents between divisions of Management. Now departments are connected to EDMS, there is an active system learning by new users.

Result

Thus, the project in Management of the land and property relations of Administration of the municipal district the Ufa region of Republic of Bashkortostan showed a possibility of development of an electronic document management system in municipal structure with consulting support of specialists of the implementing company. Let's remind that local government authorities of the Republic of Bashkortostan actively expand use of EDMS – only in the current year a number of administrations of the cities and areas made the decision on implementation of EDMS "DELO", and those who installed a system earlier, considerably enlargers quantity of jobs.
