"CIT Chaika" implemented the 1C: Budget Institution Accounting 8 system in 3 Central Research Institutes Ministry of Defence of the Russian Federation Federal State Institution

December 10, 2014. The CIT Chaika company announced end of system implementation of 1C: Budget Institution Accounting 8 in 3 Centralny nauchno-issledovatelsky institut Ministry of Defence of the Russian Federation Federal State Institution.

Choosing a Solution

Earlier for accounting in branches and general bookkeeping department different information systems were used. Credentials were transferred to institute on paper carriers where specialists of accounting duplicated economic transactions of structural divisions in the accounting program. At manual processing of large volume of information there were regularly errors affecting correctness of accounting. The management of organization made the decision on transfer of institute on a new information system which would allow to synchronize and ask data exchange with branches.

Besides, it was necessary to automate carrying out inventory. The quantity of fixed assets of organization contains more than 15 thousand names. Manual recalculation of objects took a lot of time, often there were discrepancies between credentials and the actual remaining balance of fixed assets at institute. A new system had to simplify and accelerate work of an inventory-taking group and reduce the number of discrepancies.

For automation of general bookkeeping department of institute the 1C: Budget Institution Accounting 8 system was selected. The CIT Chaika company having the status of Competence Center of 1C on budget accounting became the partner in implementation.

Project Results

• Operational synchronization of credentials from five territorial and remote structural divisions of institute is organized. Data of structural divisions are automatically loaded into the central accounting base.
• The structure of accounting service of organization is optimized. Now each employee of general bookkeeping department is a curator concerning accounting of material values for the territorial and remote structural division assigned to it. It helped to strengthen control of timely obtaining the necessary reporting and to improve coordination of activity of departments of accounting of appliances and accounting and the reporting of the isolated structural divisions.
• Integration of a system with data collection terminals helped to optimize carrying out inventory. Now actual data are automatically loaded into a system from mobile terminals. It allowed to reduce significantly time for inventory of fixed assets. Such errors as a zadvaivaniye of a remaining balance, the admission of any names, etc. are almost excluded. Discrepancies between data of a system and the actual remaining balance of fixed assets are almost reduced to zero.

Result

As a result of project implementation coordination of work of five territorial and remote structural divisions of institute improved, control of timely providing the reporting is strengthened. Carrying out inventory of 15,000 fixed assets of organization became simpler and accelerated.

The chief of financial and economic service – the chief accountant "3 Central Research Institutes Ministry of Defence of the Russian Federation" Sakharov Vasily Alekseyevich commented on project deliverables: "The main goal of automation of accounting is achieved fully – work of financial and economic service of institute was synchronized. All carried-out works in total allowed to reduce errors of accounting and to lower load of accounting of organization. Besides the created system allows to execute, at the scheduled time, operational tasks of bodies of military management, regarding representation of financial and accounting information".
