Content

December 12, 2014. The MiTek company announced end[1] of an implementation project in JSC Zheldorremmash working at the market of production of spare parts and repair of the traction rolling stock in Russia. On 9 thousand km Directum common information space was stretched.

Choosing a Solution

Upon completion of the first stage of automation in Lokomotivnye tekhnologii LLC the management of management company made the decision on implementation of Directum in JSC Zheldorremmash. The company has big production capacities, covering practically all nomenclature and geography of the locomotive park on network of Russian Railways. The enterprise includes management personnel and 11 branches which are geographically dispersed across all territory of the Russian Federation

Project Progress

The wide geography of the project defined the differentiated approach to the implemented functionality of EDMS Directum. So, in executive office of JSC Zheldorremmash the MiTek company optimized:

  • consideration and approval of the entering / outgoing correspondence;
  • approval of orders/orders and control of execution of instructions on them;
  • work with instructions, memos and control of their execution;
  • approval of minutes of meetings and control of execution of solutions;
  • approval of intra group turnovers;
  • work with requests in IT service;
  • approval of requests for a funds expenditure;
  • approval of contractual documents;
  • management of powers of attorney.

Approval of almost all document types is designed on the basis of matrixes which represent reference books with rules of determination approving depending on document parameters. For convenience of work of employees the mechanism simplifying sending, registration and filling of cards of outgoing documents between the organizations of holding is implemented. Besides, the master of actions for creation of contractual documents through the web access allowing easily and with the minimum costs of time to fill a card of the document and to send it for approval is developed.

For creation of budget and treasurer control in management company Lokomotivnye tekhnologii LLC work with budget requests was automated and process integration into "BIT .FINANS" and "1C is configured: MDM Management of NSI".

For providing a full-fledged work of users of the plants through web access separate representation was developed for the module Office with preserving of all functions available in the desktop client, and separate representation for heads with the updated interface for convenience of pronouncement of resolutions.

Result

Thus, the notable effects allowing the head to work in the convenient mode according to new standards are reached:

  • acceleration and continuity of decision making processes;
  • increase in control of performing discipline;
  • freedom and mobility in business trips and holidays.

The project is performed in most short time – 2.5 months and in November, 2014 a system was transferred to commercial operation.

The convenience of work was estimated by about 300 employees. Horizontal relations between the companies of holding were as a result strengthened, uniform regulations of work with instructions are created. Significantly the performing discipline due to fall forward of bringing instructions to final contractors and a possibility of control of their execution at any level increased.
