December 19, 2014. The Armex company announced completion of automation[1] the Novosibirsk printing house "Apriori" using a system "1C: Polygraphy 8".
Goals and Objectives
Earlier operational and production accounting in the company were not automated. The draft cost of orders taking into account different criteria, such as circulation, streakiness, specific transactions, material, etc. had to be calculated manually on the calculator. It was long, is labor-consuming and led to emergence of errors. It was difficult to plan and control production of orders. For conducting inventory accounting spreadsheets were used. There was no opportunity to quickly plan purchases under requirements of production. Besides, not so long ago the printing house purchased the equipment for silk-screen printing and could offer the clients more than five new types of printed materials. Due to the expansion of production and growth of production volume of the company the information system which would help to adjust control of production of products at each stage of a production cycle became necessary, to improve purchase planning and sales, to accelerate order processing and calculation of their draft and actual cost, to provide the management of operational and up-to-date information about activity of the enterprise.
Choosing a Solution
As the software product for the solution of assigned tasks a system "was selected by 1C: Polygraphy 8". The Armex company which is the developer of this solution and specializing in automation of printing houses became the partner in implementation.
Project Progress
During the project problems of order management, by purchases, production, a warehouse, sold and also conducting accounting and tax accounting were completely automated.
Key project deliverables
- In a system templates of calculation of cost of printing services are configured, standards of production operations are set. Now when obtaining the order for a standard printed material the manager can calculate almost instantly his planned cost and create a technology chain of production operations. On formation of final order cost the buyer requires only 3-5 minutes instead of 15 now, errors in calculations are excluded, approval of orders of buyers accelerated.
- There was an opportunity to quickly estimate the real need for raw materials and to plan purchases of materials directly under the order of the buyer. It helped to reduce amount of the raw materials which are once stored in a warehouse by 30%. Unique raw materials are bought in strictly necessary quantities now. As a result a raw materials remaining balance after printing of the order was significantly reduced, as a result, costs of the enterprise for purchase of materials decreased by 1.5 times.
- Now in the total cost of the order the cost of waste of raw materials is considered at purchase price, and the cost of the raw materials spent for finished product output – at the price above purchasing, with a small margin. It helped the management to manage more flexibly price policy, the company could reduce prices for products without loss for itself and, thereby, got additional competitive advantage. As a result, already in the first half a year of use of a new system the sales volume of the enterprise increased by 10%.
- Accurate accounting of raw materials in a warehouse is organized. Regrading is almost completely excluded. There was an opportunity to analyze operational data on a warehouse on different parameters, for example, to estimate existence of different types of paper of one format or density. Materials are released from a warehouse in production strictly according to requests of divisions now that provides a regular supply of production with necessary raw materials and minimizes risk of emergence of idle times.
- A new system allows the management to trace all history of work with customers: from drawing up planned calculation and formation of planned dates of production before calculation of actual cost of the shipped products. Instruments of operational monitoring of production of the order (the order status changes when passing all production chain) help the management to control production of orders and to react timely to failure in shipments. As a result the company could guarantee accomplishment of orders of buyers just in time.
- Automation of the main economic and production processes of the organization considerably facilitated work of the accountant. Errors in accounting are excluded, formation of the regulated reporting accelerated, its reliability increased.
In a project deliverable operational purchases of raw materials under orders of buyers are organized, the quantity of stock balance is reduced by 30%, regrading is excluded, uninterrupted intake of raw materials in production is provided. Control of production of products is strengthened. Order processing accelerated by 5 times, there was an opportunity almost instantly to calculate their draft cost, the accuracy of calculation of actual cost of release increased. It helped the management to manage price policy more flexibly. The company could offer the optimal prices on products and guarantee to the clients timely accomplishment of orders. As a result only for the first half a year of use of a new system sales volume grew by 10%.
