In RN-Shelf-Far East Ltd implementation of DIRECTUM is complete. 250 employees of the company from several offices of Yuzhno-Sakhalinsk work in a system. The risk of loss of information disappeared, time for document retrieval was reduced, processes became more controlled.
RN-Shelf-Far East Ltd is subsidiary of JSC Rosneft which core activity is project implementation on geological exploration, arrangement of fields and hydrocarbon production on the shelf of the Far Eastern Federal District.
Within general strategy of upgrade of interaction and business by the management of Society it was headed for search and implementation of a full-function ECM system. To a system the group of implementation, development and support of RN-Shelf-Far East Ltd was engaged in development of functional technical requirements.
Nasekina T.I., the administrator of the project, the head of group of implementation, development and maintenance comments: When forming requirements to a system we were guided by specifics of our company. First of all, for us it was important to construct a common information space taking into account geographically distributed structure of "RN-Shelf-Far East", to accelerate internal approval of documents, to provide control of execution of instructions. Besides, to EDMS high requirements for security were imposed. Along with it, we were interested in implementation of data migration from the previous electronic document management system. In an analysis result of the Russian market of electronic document management systems the staff of the company stopped on the DIRECTUM system. According to the results of the held competition of a project work were charged to specialists of department of consulting and implementation of the company vendor.
The project started in October, 2012. Due to a large number of the automated processes, works on modifications and testing were separated into 2 stages. So, according to the results of the first stage in September, 2013 one half of processes, and within the second stage at the beginning of February, 2014 – other half is transferred to trial operation. In parallel with project works the staff of DIRECTUM held about 60 seminars for 250 users.
During the project classical document flow of the organization was automated. Transition of work of office to the DIRECTUM system allowed to arrange registration of all document types. With input of EDMS in commercial operation the risk of loss of information disappeared, time for document retrieval was reduced, control of execution of instructions increased.
Implementation of technical solution Management of business trips accelerated approval and formation of related documents, allowed to notify sent about receiving means or delivery of reporting documents in time, to conduct archive of reporting documents.
Also business processes under approval and registration of agreements, the organization and holding meetings, approval of expenses were optimized. The implementing solution "Project Document Flow" allowed to carry out structurization of documents on projects, and technical solution Purchase management provided transparency and efficiency of all internal processes connected with carrying out purchases.
Within the project 80 reference books, 39 types of cards, 22 scenarios, 20 reports, 31 masters of actions were developed and modified. 37 standard routes are configured. Integration about "1C:Enterprise 8" is successfully implemented. Data migration (registration cards and documents) from the previous EDMS created in 5 years of work in a system is carried out. By March, 2014 in a system more than 28,000 documents and more than 5,000 registration and control cards were created.
In a system all staff of "RN-Shelf-Far East" in number of 200 people, including the top management works. In a project deliverable the enterprise received the full-function, complex instrument of electronic interaction.
