12/25/2014. The Docsvision company announced SUE Moskollektor workflow automation project completion.

Choosing a Solution

Due to desire to increase effective management of activity of the company, transparency of the growing document flow of the large-scale enterprise, to provide to employees convenience of work with documentation and economy of temporary resources, at the end of 2013 the decision on system implementation of electronic document management was made.

According to the results of studying of assigned tasks the company integrator - Yunitsol LLC - recommended to the customer the Docsvision system as completely meeting all requirements. Key project stage is complete in 2014.

Project Results

Implementation of EDMS allowed to automate basic functions of office-work: acceptance and document transfer on storage. Access to documents and information search, thanks to the modern systems of search including attributive and context search accelerated. Storage of all categories of corporate documents is organized.

The specifics of the project consist in a set of sources of the entering documentation for what, in addition to standard functionality, the functionality "the Entering TsOP" was configured (The center of Processing of the Consumer allows from the incoming document from the consumer to create tasks for execution). For convenience of work with the accounting systems, integration with "1C Management of Manufacturing Enterprise 8" within contract activities of the enterprise and also integration with the Central Technology System for data acquisition of collector economy of the enterprise and also some technical documents was implemented. The functionality of integration with AD, report generation, enhanced capabilities of the EDMS cards is implemented.

The solution based on Docsvision 5.2 was set up taking into account requirements of key users and specifics of internal business processes: notifications, search, distribution of tasks, process of approval and reviewing, transfer of partners between external systems and Docsvision. As a result of implementation of the large-scale project all administrative circuit of the enterprise is connected to work in a system - it is about 300 users SUE Moskollektor.

Klimenko Kirill Vladimirovich, deputy CEO of the enterprise for development of information systems, SUE Moskollektor: "System implementation of electronic document management allowed to simplify significantly the solution of a set of problems which rather strongly complicated life of employees when conducting paper document flow. Such problems as search, access, storage and document distribution within the enterprise were solved within an implementation project. Internal communication and problem definition between employees came to a new step thanks to emergence of a possibility of collective work on documents, distribution and delegation of tasks. It would be desirable to notice that the implemented system also had to close one of important problems of the enterprise is a maintaining archive of technical documentation. Now any employee for whom technical documentation is necessary can address Docsvision and obtain information which is required for it. The main indicator of automation of process of paper document flow is: establishing order in work with documents, significant optimization of BP of the enterprise, reduction of terms of acceptance of management decisions and increase in level of efficiency of the organization. At implementation of EDMS Docsvision all above-mentioned indicators were reached".
