Content

 On January 22, 2015 the Seventh Continent company announced transfer of processing of primary accounting documents and invoices on outsourcing of Xerox company.

Project Tasks

 JSC Sedmoy Kontinent monthly processes more than 600  thousand documents arriving from several thousand partners. For increase in efficiency of this business process and cost reduction, the supermarket chain in February, 2013 signed the five-year service provision contract on processing of primary accounting documents and invoices with Xerox company.

Project Progress

The service covers a cycle of preprocessing of the document packages arriving from suppliers, from their acceptance and registration before formation of prototypes of the closed deliveries and their loading in the ERP system of the customer.

The processing executed by the staff of Xerox includes check of completeness of the document packages created upon receipt of goods goods, and correctness of their design, identification of discrepancies at the price or quantity between actually taken goods and the order in ERP, automatic informing suppliers and shops on problem documents is provided. Each of the found discrepancies then is displayed on the screen of Xerox of the automated workplace of the accountant developed by specialists that facilitates the subsequent decision-making according to the problem document. Similar processes were constructed also for other transaction types, such as return and write-off and also for document handling, the goods accompanying movements in retail chain stores.

"As a result of process hop on outsourcing we managed to reduce costs for ensuring settlement with partners more than by 20%, – Alexander Pershutov, the director of a support service of business  of JSC Sedmoy Kontinent noted. – However for us not less important results are quality improvement and transparency of all process and also considerable reduction of terms of "closing" of delivery – from three days till 24 o'clock".

At implementation of the project of Xerox unrolled  the hardware and software system allowing to automate processing ten different types of documents on one of platforms situated near Moscow of JSC Sedmoy Kontinent, having provided its integration with the ERP system of the customer. Besides, the Electronic Storage service is implemented and the system of complex accounting by means of which accountant officers have access to status reports of processing online is created.

Project Results

"Through joint efforts we managed to construct effective and reliable processing of documents, to exempt accountants of Seventh Continent from routine and very labor-consuming transactions and to make their work more productive and comfortable, – Valery Kuzmich, the head of marketing and strategic programs of department of outsourcing of dokumentoyomky processes of Xerox company Russia noted. – Now, when new process is adjusted, we together with the customer study perspectives of further expansion of service. For example, we are ready to undertake processes of further processing of "problem sets", interaction with shops and some other functions".

Implementation of service allowed retail retail chain stores to lower costs for processing of accounting documentation and invoices more than by 20%, to reduce terms of "closing" of deliveries, to eliminate errors at document handling and also to provide the high level of transparency and controllability of process.
