"Tatneft gas station the Center" expanded use of Etla archive

February 3, 2015. The company "Tatneft – Center gas Station" reported^[1] about implementation of the ETLA platform, using Atlas Soft company.

Choosing a Solution

Due to the growing consumption of oil products and development of Tatneft Gas Station Center company, the volume of accounting documentation strongly increased. The current systems of work with accounting are not absolutely convenient for formation of full-fledged archive of accounting documentation. With respect thereto the company management set the task to find the solution which could in the market will satisfy requirements of the developing company. After carrying out a number of meetings with representatives of different solutions, as optimal the solution of Atlas Soft company was selected. First of all the customer noted convenience and simplicity of work with a system. It was also important, existence of all palette of editors and designers using whom, specialists "Tatneft - Center Gas Station" with small assistance from specialists of Atlas Soft could perform full implementation in the territory.

In addition to standard problems of creation of structure and setup of archive, there was a question of the automated data transfer in the form of scanned primary accounting documentation from an accounting system in the created archive. At this stage the staff of Densol Soft company who helped to create the gateway of the automated exchange of documents and cards of documents from the customer were involved.

Project Progress

In the course of system implementation of electronic archive ETLA users were brought and user groups are created, access rights to different parts of archive are appointed. Specialists of the customer configured rules of the automatic name, placement and numbering of documents.

For the maximum reliability of document storage backup procedure of the database and base of documents was configured. For industrial reliability at the Etla system there is separation of the database and base of documents and it is possible to store copies of these bases both on the server, and in any network storage, the data security even thereby is ensured at elimination of the server.

Development Plans

At the moment a system was implemented at head office of the company "Tatneft – Center gas Station" and after carrying out successful three-months industrial use there was a question of expansion of its use on all branches.

Expansion of use of a system of electronic archive Etla

After system implementation of electronic archive Etla in the company "Tatneft – Center gas Station" in 2015 and commercial operation within a year in the summer of 2016 made the decision on expansion of its use.

At the first stage of system implementation, in addition to standard problems of creation of structure and setup of archive the issue of the automated data transfer in a type the scan copies of primary accounting documentation from an accounting system in the created archive was resolved. The gateway of the automated exchange of documents and cards of documents from the customer was created. For reliable commercial operation backup procedure of the database and base of documents was configured.

After implementation at head office, the second stage of connection to work of several more departments of the company was started. Data exchange mechanisms about partners and reference books between electronic archive and the system of accounting were implemented. Also the mechanism of unloading of folder structure was made of electronic archive in the system of accounting.

After accomplishment of the second stage of implementation the question of further expansion of its use in numerous branches of the company is considered.
