April 24, 2015. The Soft-Service company reported[1] about end of system implementation "1C: Document Flow 8 CORP" in Dorstroyservice-Ufa company. In a project deliverable processing of applications for participation in tenders significantly accelerated, loss of the tender documentation is excluded. The company creates in time and in full and provides to customers all data, necessary for participation in biddings. There was an opportunity to receive statistics of victories and losses in tenders, to analyze the reasons of failures and to develop measures for their prevention in the future. As a result the company could win more tenders. The geography of regional sales extended.

Goals and Objectives

To increase efficiency according to tenders the company management decided to implement an electronic document management system which would allow to accelerate processing of requests, to simplify formation of the tender documentation and to provide timely preparation of the complete code of documents on requests of organizers of biddings. Besides, this system had to support integration into the solution "1C: Trade Management 8" which is successfully used in the company for operational accounting.

Choosing a Solution

As the software product for the solution of assigned tasks the 1C: Document Flow 8 CORP system was selected. The Soft-Service group became the partner in implementation.

Project Progress

In only three months a system was unrolled in 59 workplaces in the sales department including three divisions of retail, city and regional sales, management, department of competitive sales, commercial and forwarding departments.

Project Results:

  • All applications for participation in the tender are stored in a system in the structured type, depending on results of the tender now. At any moment it is possible to obtain all necessary information on each tender or an auction. Loss of documents is excluded, and the company management got rid of need to hire additional employees for work with archive papers.
  • A system is integrated with the solution "1C: Trade Management 8", synchronization (on demand) of the normative reference information about partners is configured. It saves time of employees and allows to avoid errors when filling documents.
  • Processing rules of requests are unified and accurately regulated. In a system for each document it is appointed responsible for its preparation. When editing the document form to filling a number of the fields assigned to this or that specialist is obligatory. Each employee participating in work with the document can fill only the part and only at the stages determined by regulations. At the same time a system allows to control all processing stages of the document. As a result documents are processed quickly, in full and without errors. Forms of documents which were filled out within an hour earlier form in 10 minutes now.
  • Specialists of department of competitive sales could aim the released time at finding new tenders and clients and preparation of the tender documentation. Employees received additional motivation for work due to transparency, openness and data availability. The quality of working off of tenders improved.
  • All this helped to increase the number of the won competitions, the company began to master the new regional markets.

Further it is going to automate work with supply requisitions of goods on the won tenders and also contract signature on them with customers.

Results of the project are commented by the commercial director of Dorstroyservice-Ufa LLC Duminov Sergey Valeryevich: "With system implementation we got three main advantages. The first - time, the second - control, the third - electronic document management. In half a year after start of a system in operation we conducted an employee survey and received unanimous opinion: implementation of the program was the correct solution".
Fattakhov Rinat Salavatovich, head of Dorstroyservice-Ufa LLC sales department: "I consider that implementation "1C: Document Flow 8 CORP" became the most important serious solution in 2014. It allowed us to simplify all process of document flow, there was a certain banality and a possibility of the analysis which facilitated for heads decision making on participation in tenders. Automation allowed us to sell more. For new employees activity of the company in the field of competitive sales became more clear and transparent. Today at us all process of work with tenders turned into some kind of "pipeline" which any more allows to relax to nobody. We look forward when start other blocks!"
