Gazprom avtomatizatsiya selected 1C for business process automation of treasury

In December, 2016 within the complex project of reengineering, a regulation and automation of key business processes in Gazprom avtomatizatsiya company system implementation of treasury is complete.

This complex project is implemented according to the IT strategy of society developed and accepted in 2014.

Functional project scope includes business processes:

  • managing business processes (management of instructions, budgeting, treasury);
  • production business processes (management of tenders, projects, own production, logistics);
  • the supporting business processes (management of NSI, a contracted work, labor resources, claims, regulated accounting).

Automation of treasury took place in two stages. In 2014 approval of payments was transferred to an electronic form, and the existing business process is standardized. In 2016 business process optimization is performed and reliability of a system is increased. As a result:

  • the average time of approval of the request for a funds expenditure (ZDRS) is reduced three times – till 17 o'clock (astronomical);
  • cases of incorrect payment in connection with irrelevant details, incorrect data on settlement, revocation of license of bank are completely excluded;
  • transition to paperless document handling allowed to save significantly time of users, "circulations on offices" are excluded;
  • cases of delay of payments are excluded;
  • the financial management has exact and timely information on cash flow.

For automation of business process the multicomponent information system consisting of the close integrated information bases is constructed:

  • 1C: Accounting is source of data on the actual settlement;
  • A corporate information managing system – the main front-end a system for 99% of users;
  • 1C: Document Flow is Business Process Management Suite. The application is used only as back-end;
  • BIT. Finance – the consolidated system of creation of an income and expense budget and BDDS and also formation of limits of payments.

Functionality of multicomponent system:

1. Autoformation of ZDRS according to payment terms and the come business events.

2. Manual formation of ZRDS, in particular, on business activities.

3. Electronic approval of ZRDS according to the configured routes and an organization structure.

4. Autocontrol of settlement, limits, relevance of bank details, licenses of bank.

5. Formation of the payment schedule.

Automation of treasury allowed to minimize "a human factor" at approval of ZRDS. The risk of implementation of payments to partners in defiance of the payment procedure provided by agreements and also payment according to incorrect details is completely excluded that allows to organize more effectively interaction with partners and affiliated enterprises of society, – the deputy chief of financial and economic management of Gazprom avtomatizatsiya D.N. Kochetkov noted.

Deadlines forced us to work from "prototype" without accurate technical specifications, putting functionality into operation at once as it could bring benefit. In parallel we overcame resistance of users – imaginary errors of a system and "a lack of time" disappeared at once when together with users in an office put the analyst, – the project manager of automation of treasury E.R. Gafarov said.

In Gazprom avtomatizatsiya the team of experts on 1C landed

Speaking at a conference of 1C on solutions for corporate clients in June, 2015, the project manager Gazprom avtomatizatsiya Evgeny Gafarov noted that, despite vast experience of implementing solutions of SAP in the companies of Gazprom, for own automation his company selected the 1C:Enterprise 8 platform. In Gazprom avtomatizatsiya the majority of the systems automating business processes including two key – a corporate management information system and "1C: Document Flow" works at its base. The last, according to Gafarov, performs the BPM functions in Gazprom avtomatizatsiya.

The manager of projects of Gazprom avtomatizatsiya told that works on the large-scale project of business process automation in his company began at the end of 2013. According to him, at the time of start of the project only two blocks of business processes were automated up to standard: regulated accounting and management of MTS.

Gafarov noted that business processes in Gazprom avtomatizatsiya subdivide into three classes: managing directors (management of instructions and finance), production (project management, competitive purchases, MTS and production management) and also supporting (management of a contract work, regulated accounting, claims activities, logistics). By the end of the project four blocks of business processes were up to standard automated already and on four blocks – the most basic functions are automated.

The reasons of the choice of 1C as the main platform for automation in the company Evgeny Gafarov explained TAdviser with the fact that, first, with replacement of the leadership of Gazprom avtomatizatsiya (in 2013 in the company the CEO was replaced and the top and management structure – a comment of TAdviser was updated), the new command with very good experience with products of 1C came to the company. After that in Gazprom avtomatizatsiya in addition employed also third-party specialists in 1C.

As of the middle of 2015, number of employees of practice of 1C for internal automation, according to Gafarov, makes about 15 people: these are analysts, developers, specialists of support. An essential part of this command is necessary on former employees of 1C Company: as passed into the company with replacement of the leadership, and employed later from outside. A former employee of 1C is also Evgeny Gafarov who also passed into Gazprom avtomatizatsiya together with the new management.

In addition to existence of strong internal examination on 1C an important factor for benefit of the choice of this platform the manager of projects of Gazprom avtomatizatsiya called an economic component: the company came to a conclusion that it has sufficient competences to automate business processes based on 1C cheaper and with required quality.

In a conversation with TAdviser Evgeny Gafarov also noted that examination on 1C in Gazprom avtomatizatsiya it is going to develop and use it, including, in projects for external customers.

The agreement on cooperation with 1C

At the end of June, 2015 Gazprom avtomatizatsiya announced conclusion of an agreement about cooperation with 1C. It assumes development of cooperation of the companies in the field of creation of application solutions on automation of management systems and accounting for the industries entering into energy industry of Russia and the countries of customs union.

The document provides formation in structure of PJSC Gazprom avtomatizatsiya of Competence Center on automation of the energy industry enterprises which tasks will include creation and joint promotion of specialized solutions on the 1C Platform.

"In 2014 we made strategic decision on creation in the structure of Competence Center of 1C and we are going to increase significantly the volume of the implemented solutions of 1C in the oil and gas and power industries", - the CEO of PJSC Gazprom avtomatizatsiya Dmitry Zhuravlev says.

Gazprom avtomatizatsiya calculates that implementation on the 1C: Enterprise platform of its automated complexes including the main business processes of the industry enterprise or holding will allow to increase economic effect of use of such systems and also will significantly lower time and costs for their implementation.
