June 10, 2015. The Softservice company reported[1] about end of system implementation by "1C: Document Flow 8 CORP" with one of the largest companies on production of cement - YuUGPK LLC. The electronic document management system covered 300 jobs in 50 structural divisions of the company. As a result the volume of paper document flow is reduced by 4 times, safe document storage is provided, their loss is excluded, control of performing discipline of employees is strengthened. Integration of a system into the ERP solution "1C: Manufacturing Enterprise Management" helped to reduce time for processing and transfer of orders in production, the quality and speed of their accomplishment increased. The new effective scheme of approval of documents allowed to accelerate preparation and agreement signature several times. The company had an opportunity to react quickly to proposals of partners and to conclude bargains on the most advantageous conditions.
Choosing a Solution
Earlier document flow in the company not was it is automated. The office YuUGPK LLC, as well as at many manufacturing enterprises, is at considerable distance from industrial platforms therefore on approval of agreements and other documents in paper form too much time left. Joint work over documents was impracticable, it was necessary to transfer several times documents from one division to another, documents were lost.
The management made the decision on creation of a modern electronic document management system which would allow to increase efficiency of joint work of specialists of different divisions, to reduce time for approval of documents, to ensure their safety. Besides, it was required to increase performing discipline of employees.
For operational accounting and management in the company the 1C: Manufacturing Enterprise Management system therefore for workflow automation the solution of the 1C: Enterprise system - "1C: Document Flow 8 CORP" was also selected is already successfully used. The Chelyabinsk company of data center Softservice became the partner in the project.
Main project deliverables:
- All agreements, including scanned copies of their originals with signatures of clients, are stored in a system, uniform for all divisions, now. Documents are not lost.
- Considerably personnel labor productivity increased. Employees do not spend time for search of papers any more. It is possible to find the necessary document in a system literally for several seconds. At the same time the safety of confidential information is ensured. Users have access only to those data which are necessary for them for work. Differentiation works on user groups, separate documents and folders.
- The new effective scheme of approval of documents is developed. Process of approval is strictly regulated. Each of participants of a chain of approval, and them can be more than 10, accurately knows to whom he should tell the document what to do if the responsible is sick or, for example, is on vacation. Managers can estimate at any moment at what stage of approval or preparation there is this or that document and, in case of need, to make the relevant decisions. It allowed to increase the speed of preparation and agreement signature several times. The company had an opportunity to respond quickly to advantageous offers of partners and achieved more loyal relation from clients.
- Seamless integration "1C: Document Flow 8 CORP" with the 1C: Manufacturing Enterprise Management 8 system allows to transfer new orders to production more quickly. All documents when processing orders, including specifications which contain detailed product characteristics, form in EDMS and, after confirmation of the transaction by the responsible head, automatically come to the ERP system. It saved employees from need of duplication of information, excluded errors at order placement, increased quality and speed of their accomplishment.
