"Docsvision for O1 Properties: the solution for review agreements with complex structure of internal regulations.

O1 Properties is the private Russian company, one of the largest owners of office real estate of a class A and B+/B in Moscow. The main activity of the company is acquisition in property and management of high-quality assets of office real estate in Moscow.

Total document flow of O1Properties is over 10,000 agreements a year. Each agreement undergoes approval according to regulations, and in the company there is a large number of regulations for agreements with different conditions that complicated process of approval and led to emergence of errors. Due to the intensive growth of the company and growth of a data stream the decision on system implementation of electronic document management, allowing to automate process of approval of agreements and to provide their systematized and reliable storage was made.

The partner of DocsVision, the Dock.Py company, in 4 months performed implementation of the Docsvision platform based on which solutions for review of agreements, automation of office were deployed. The electronic archive is created, process of control of performing discipline is smoothly running. Jobs of users are configured for 100 employees of O1Properties.

Automation of approval of agreements and other documents is constructed based on the standard solution for Docsvision "Approval of Documents" and the Process managements application. The electronic archive is configured based on the standard solution "Office-work" and complemented with the cards developed specially under the customer.

From the moment of input of a system in commercial operation in O1Properties company all documents undergo approval only through Docsvision that accelerated a cycle of approval of documents for 40%. The customer received the solution allowing to structure strictly information, to avoid losses of documents, to remove a task of the choice of the correct regulations of approval of the agreement from users and to completely exclude emergence of errors when choosing the necessary route of approval. Also participants of process of approval received the convenient instrument of joint work over agreements: entering of changes and comments into documents."
