Project History

Before Department of the rolling stock of New Transportation Company there was a task: automate processes of approval of agreements, acts of the performed works and invoices on repair and operation of the rolling stock. These main business processes of the company happened in paper form and occupied a significant amount of time, documents were sometimes lost in a numerous chain of approvals.

After studying of several the main of EDMS, presented at the market of Russia, IT department gave preference to the DIRECTUM system as it to the program most of which meets the numerous requirements of the company and assumes active development and scaling.

By the first modules at system implementation of DIRECTUM, were selected: "Contract management" and "Approval of invoices for payment".

The effect of implementation was visible from the first days of commercial operation. Here what is told about it by the Head of the department of information technologies "The new transportation company" – A.O. Safronov: -in the first days after implementation it was possible to be positive for the achieved results: specialists of our company got online access to information, necessary for them, for example, who already approve the act and at whom the document is being approved now. Work of employees became more organized and transparent.

Now daily responsible Department of production settlement about 60-70 tasks with even large number of documents are initiated and 500-600 tasks are performed.

In the course of activity before our company there is regularly a problem of the choice of suppliers and contractors on a competitive basis and as the next stage, – the organization of process of contracting.

For the purpose of increase in transparency of this process and decrease in inherent risks the management made the decision to automate process of carrying out tendor in the DIRECTUM system and the next stage, to implement the module "Management of Tendor".

The CIO "The new transportation company", Malyozhin M.O. speaks about effectiveness of automation of tender activity: -At the moment in the module "Tenders of NPK" the complex of works is conducted: from creation of the competitive list and its approval of necessary services, including of the tender commission, before control of the put budgets of divisions at signing of the contracts with winners of the tender. The logic of system operation is based on the business process which is earlier set in the company.

Implementation of this module increased efficiency of process of management of tenders due to availability of necessary information, increase in speed of approval, uniform archive of the held tenders, competitive lists and commercial offers of suppliers. For the purpose of optimization of work of non-management employees of the company the master of actions "Approval of the tender documentation" for automatic formation of the competitive list or the memo was used (in case of the simplified choice of the supplier)."

Project Development

After successful implementation of system modules of DIRECTUM for automation of important business processes of the company, the decision to automate and the most volume process on document flow – activity of office was made.

At the moment a system constantly develops as forces of IT specialists of the Customer, and with attraction of competences TANAIS.
