The remote format of the work became the basis for the implementation of the project for the transition of the electronic document management system to the Docsvision 5.5 platform in the Samara Provincial Duma.

The SED receives, processes and distributes incoming correspondence; sending of outgoing correspondence, registration of internal and organizational and administrative documents; imposing resolutions, issuing instructions; control of executive discipline, preparation of certificates and reports; registration of applications of citizens and legal entities to the Samara Provincial Duma, etc.

The transition to Docsvision 5.5 version made it possible to increase the convenience and speed of working with electronic documents by introducing a web client that does not require additional installation and configuration on users' workplaces. The flexible configuration of the web interface has expanded the functionality of automating legally significant electronic document flow within the organization. The use of the latest version of the SED on the Docsvision 5.5 platform will further facilitate the transition to domestic software as part of import substitution.

In the spring of 2020, due to the threat of the spread of coronavirus infection (COVID-19), it was decided to transfer employees to a remote format of work. It was necessary to adapt IT tools, including SED, to the current working conditions. Webzavod implemented a project to upgrade to the latest version of the Docsvision platform in a short time and without offline meetings with the customer, and also tested and organized user training and training using videos and online tests.

The deployment of the web client of the electronic document management system on the scale of the Samara Provincial Duma was completely completed remotely thanks to the flexible configuration mechanisms embedded in the Docsvision 5.5 platform. In addition, the migration of registration cards of organizational and administrative documents of previous convocations of the Duma was planned and implemented, and access to archival databases through the Windows client was also configured.

2006

  • Docsvision was chosen to replace the existing Lotus Notes-based document management system, which was not satisfied due to insufficient integration with Microsoft products and the difficulty in supporting and developing the system.

  • The solution is designed to maintain an archive of organization documents, automate the tasks of the office, control executive discipline and automate management processes.

  • The system created more than 140,000 incoming documents (including more than 40,000 transferred to the archive), more than 50,000 outgoing documents (including more than 16,000 transferred to the archive), 17,000 internal documents (including more than 2,500 transferred to the archive). Currently, the system has about 2,500 active business process instances. The database size is about 85 Gb.

  • SED is integrated with the systems Lawmaking and Reception of Citizens, implemented on the basis of SharePoint. In the future, it is planned to develop the system in terms of controlling executive discipline, creating new and developing existing reports, managing the archive of documents.

  • Number of users: 300 (employees of the Duma apparatus, deputies and their assistants).

  • Solution type: configuration of "Office" and "Process Management" applications, development of a specialized thin client, development of reports based on Microsoft SQL Server Reporting Services.
