The state archive of Khanty-Mansi Autonomous Okrug upgrades the AIS

On August 27, 2015 the ELAR company announced an implementation project in the State archive of Khanty-Mansi Autonomous Okrug of an information system - the AIS "Electronic Archive of Yugra" on the AIS Archive platform.

Project Progress

The ELAR corporation began works on creation of an archival information system of KhMAO in 2009. Specialists of corporation implemented the Arkhiv AIS system, digitized and loaded into it nearly 90% of archive inventories of the State archive of the region. Developed a subsystem of automation of work of staff of organizations in the mode of remote access for municipal archives.

For August 28, 2015 the state automated information system (AIS) "Electronic archive of Yugra" is used by heads and specialists of Service for archives of Khanty-Mansi Autonomous Okrug, the State archive of the district and 22 municipal archives.

Project Results

Using the AIS "Electronic Archive of Yugra" workflows are automated:

• storages,
• completing,
• accounting and use of documents of organizations;
• maintaining lists of sources of completing of governing bodies of archiving of administrations of the cities and areas.

The AIS provided to users remote access to explanatory notes, documents in archives of the autonomous area, to thematic databases.

Project Development

On August 27, 2015 the organizations announced the beginning of the project of upgrade of a system within which creation of the mechanism of the instant internal notification about the events which are taking place in a system, relating to specific employees is supposed.

Development of the converter for interaction of the AIS "Electronic Archive of Yugra" with the software package "Archive Fund" (version 5.0) for import/export of index information on funds, inventories and affairs is necessary. Specialists of archives will also be able to browse the electronic copy of case directly from the requirement of the researcher.

The project provides development of forms of statistical reporting of activity of archives of KhMAO. Specialists of the industry of the region will be able to receive in the automatic mode reports on attendance and filling of a system an information resource and to have a possibility of the order of documents or electronic copies of fund of use. Completion dates of appeals of legal entities and physical persons will be reduced.

In addition to upgrade of a system, creation of electronic fund of use of an archival information system of the region will be continued: 7,460 especially valuable and most demanded archivings will transfer to an electronic form. Electronic images (about 800 thousand) will tie to the corresponding headings of affairs in the Electronic Archive of Yugra database.

According to the project plan, until the end of 2015 it is necessary to improve and expand functionality of the state automated information system (AIS) "Electronic archive of Yugra".
