MITHT of Lomonosov automated accounting of precious metals

On August 26, 2015 the CIT Chaika company announced implementation in MITHT of M.V. Lomonosov systems of accounting of 1C: Budget Institution Accounting 8^[1].

Project Tasks

Owing to specifics of work of the university, chemical reactants which contain precious metals are stored in MITHT laboratories. According to the current legislation of the Russian Federation the movement of these precious metals should be reflected surely in accounting, and organization is obliged to provide the corresponding reporting in regulatory authorities.

Earlier laboratory assistants brought in accounting of data on the reactants spent during the occupations or come to laboratory on the paper forms completed by hand. Accountants multiplied normative amount of precious metals in certain reactants by actually spent or received quantity of reactants, calculating the amount of the written-off or arrived precious metals. Data were collected within a month then accounting created the turnover sheet on each precious metal.

The amount of precious metals in reagents is minimum, rounding of weight is made up to 5 signs - bulky calculations for processing manually. In addition during checks from the State inspectorate of assay supervision for Moscow and the Moscow region there were notes on accounting of quantity of precious metals in reagents.

For the organization of operational accounting of precious metals and acceleration of preparation of the corresponding reporting in university made the decision to involve functionality of the 1C: Budget Institution Accounting 8 system which is used in organization for regulated accounting. The CIT Chaika company became the partner in the project.

Project Results

For August 28, 2015 a system contains the description of all reactants with expected amount of precious metals per unit of measurement. Accountants of the university enter to the program only amount of the arrived or written off reagents, and calculation of amount of the arrived or written off precious metals is executed automatically. As a result calculation of quantity of precious metals accelerated many times. Errors in calculations are minimized.

The customer had an opportunity of operational filling of all specialized report forms provided by the current legislation of the Russian Federation. A system automatically prepares the reporting under the movement of precious metals in reactants:

• acts of write-off,
• acts of receipt,
• turnover sheets,
• inventory, etc.

The percent of errors and manual adjustments in the program is minimized.

Larisa Koroleva, the chief accountant of MITHT of M.V. Lomonosov, told: 1C: Budget Institution Accounting 8 helped considerably, to reduce time of processing of primary documents for receipt and write-off of precious metals by 80-90%. It allowed to optimize the staff list of accounting - one rate was reduced. The quantity of errors when processing operations on the movement of precious metals decreased. The report on financial results of activity of organization (form No. 0503721) is formed without errors and deviations now - earlier preparation and coordination of this report with other balance sheet forms of the reporting was for accountants of the most difficult and labor-consuming".
