NPF LUKOIL-Garant transferred document flow from Lotus on Docsvision

On September 24, 2015 the LUKOIL-Garant Non-state pension fund announced transfer of document flow with Lotus on Docsvision.

Choosing a Solution

In 2013 the decision on transition from the workflow system BOSS-Referent in connection with the general IT strategy of failure from the Lotus Domino/Notes IBM platform was made. For project implementation on migration the BTLab company having wide experience of implementation of different solutions on workflow automation was selected. The electronic document management system of Docsvision was selected for implementation as the customer's IT specialists were already familiar with it, and a system completely meets requirements of NPF LUKOIL-Garant. The BTLab company has wide experience in work with both systems (Docsvision and BOSS-Referent), - it provided competent approach to implementation and a successful completion of the project.

Tasks

In the project it was necessary to consider that users got used to work in the previous system therefore the task of implementation of the maximum analogy in the Docsvision interface was set. Due to making changes on arrangement of fields in a card, to routes of the movement of documents and functionality this task was successfully solved with the minimum changes in the plan of convenience to users of EDMS.

Project Progress

The solution is implemented based on the Management of Documents built-in application and the designer of approvals of Docsvision. Sheets of approvals were rewritten, the possibility of an output in Microsoft Word is implemented. Data migration in Docsvision is performed. The functionality of import of data from the tables Microsoft Excel with support of loading of applications and version control of files was implemented.

During the project the office, contract activities and all document flow is automated. Transition to Docsvision was performed in 2014. At the moment the BTLab company gives technical support of a system during commercial operation. Opportunities and convenience of EDMS estimated nearly 100 users of the company.
