NAUMEN implemented EDMS in City administration Kurgan

October 27, 2015. The company NAUMEN announced implementation of electronic document management in City administration of Kurgan, based on EDMS Naumen DMS.

Implementation of a modern electronic document management system and management of administrative processes of Naumen DMS optimized work with documents of administration staff of the city of Kurgan, 6 departments and 15 municipal authorities, having provided a uniform order and the automated control of all operation cycle of documents.

In EDMS Naumen DMS today all employees actively work, including the first heads of City administration of Kurgan, departments and subordinated organizations. Using systems capabilities processing of different document types of municipal level is provided in accordance with the established procedure: legal acts, agreements, municipal contracts of City administration of Kurgan, orders of departments and municipal authorities, outgoing letters, interdepartmental requests within providing municipal services, drafts of decisions of Kurgan City Council.

Result

Thanks to systems capabilities the convenience of management of all processing stages of drafts of legal acts significantly increased: drawing up, approval, statement and performance of a document. Naumen DMS allows to control all operation cycle of the document. The operations procedure is strictly regulated. The responsible is appointed to each stage of work. Considerably the convenient searching tools and routings of documents allowing to find quickly the necessary document and to send it to the responsible specialist save time. For example, it became possible to find the project or the adopted legal act by the registration number, on the author, date of creation of the document, on a key word, a source text. EDMS Naumen DMS is actively used also for processing of outgoing correspondence: for the last year the number of the outgoing letters of City administration processed in a system, departments and subordinated organizations increased by 3 times in comparison with a previous period. During operating time in a system it is processed tens of thousands of documents in electronic form, representatives of the company integrator reported TAdviser.

Development Plans

Within development of electronic document management the management of City administration of Kurgan plans implementation of function of processing of citizens' appeals and the organizations and integration of EDMS with the information systems used in the city administration.

On average the draft resolution of City administration of Kurgan will be approved now within 3 days, and earlier on it not less than a week was required", – Alexander Porshan, the head of City administration of Kurgan noted.
