Content

In Targin Group since July, 2015 the general service center (GSC) of accounting and tax accounting on all enterprises entering into holding is created.

Prerequisites

Targin Group has the distributed structure, to the OTsO organization accounting services were scattered on 16 locations according to location of production services of the company. After centralization of accounting service the quantity of locations of specialists became 2 — Ufa and Neftekamsk. Such centralization could not provide operational input of documents in the accounting system of the enterprise without system implementation of electronic archive.

Tasks and purposes

Creation of the general service center (GSC) based on 5 separate accounting services was the main objective of the project.

Main objectives of project implementation became:

  • Cost reduction of holding due to optimization of number and structure of accounting.
  • Quality improvement of management, accounting and tax statements. Reduction of terms of submission of reports.
  • Increase in control and transparency of accounting and tax accounting.
  • Standardization and unification of business processes.
  • Formation of electronic archive of documents.
  • Increase in controllability by holding at change of an organization structure or business processes.
  • Increase in investment attractiveness of holding.

Functionally tasks are assigned to OTsO:

  • methodological support and formation of internal regulations in the field of accounting and tax accounting and the reporting;
  • accounting, reporting under RAS and IFRS;
  • training and consulting support of representatives of business.

Choosing a Solution

The decision to organize electronic archive of the company as the web application on the Lexema platform was made. The solution is caused by the fact that in Targin Group electronic document management of LexDoc on the Lexema platform was already implemented by then, and implementation of archive on Lexema became development of the project on electronic document management. Therefore operational input of documents in the accounting system was provided.

Project Progress

Specialists EcoSoft organize active technical support on work in a system. The accounting system Lexema was adapted for work in the system of specialists of business. The simplified forms of interfaces are developed for data entry in the accounting system.

Project implementation of OTsO made high-quality changes to business processes of Targin Group. Feature of the project was the fact that the regulated responsibility on input of documents in the accounting system and to placement the scan images of documents in the EHD system was conferred on specialists of business — curators of agreements and MOL.

Within the OTsO project employees were trained and jobs of 1,259 specialists of business, including 560 employees who were earlier not working in the accounting system, in 6 geographical zones are retrofitted. Also seminars are held systematic centralized training.

Results

Result of the organization of electronic archive became:

  • Quality improvement of reflection of information in a system.
  • Reduction of terms of providing documents and their input in a system.
  • The automated operational work of curators of agreements on relationship with partners.

Accounting and tax accounting on the basis of electronic the scan images of the documents placed in the system of the electronic data warehouse (EDW) developed on the Lexema.ru platform is organized. Jobs are organized and equipped directly on production sites. In EHD the complete packet accounting, HR and legal documents is placed.

Information is entered into a system in places of its emergence that allows to provide quickly documents for processing in OTsO and creates premises for reduction of terms of closing of the accounting and management reporting. The base of documents EHD is used practically by all services of the enterprise, users of EHD are internal and external specialists.

System implementation of EHD allowed to reduce terms of selection of documents and to provide operational providing booking and managerial data on requests of internal and external users.
