The Altai state medical university automates document flow on EDMS Case

AGMU of the Russian Ministry of Health joined number of higher educational institutions of Altai Krai which use for conducting document flow of EDMS "DELO" (a product of EOS Group company). At the university system implementation of electronic document management in management personnel is complete and also user training is provided. State-funded educational institution of higher education "Altai state medical university" of the Ministry of Health of the Russian Federation (SEI VPO AGMU Russian Ministry of Health) – one of the leading medical higher educational institutions of Western Siberia. The university trains specialists not only for Altai Krai, but also for many other regions. Today the medical university implements 19 educational programs of the higher medical education and also has an internship, an internship and a postgraduate study.

In AGMU the centralized scheme of document flow is used – all documents are registered in the general department, he is responsible for control of performing discipline. Before implementation of EDMS "DELO" document registration was conducted by traditional methods, and document flow was organized on paper carriers.

By EDMS "DELO" it was purchased at the special price – upon purchase of the systems of EOS Group for own managerial needs for educational institutions the discount in the amount of 50% ("The academic license") is provided. A system intended for automation of internal document flow and control of execution. All AGMU purchased 46 user licenses, from them 30 – on the subsystem "DELO-Web". It allowed to close requirements on workflow automation at the level of administrative divisions of university.

Implementation of EDMS "DELO" was performed by own forces of specialists of the customer, with active participation of KS-Consulting company. After purchase of the software and its installation 3 technologists of a system (they gained basic knowledge on the EDMS setup) and also clerks (the staff of the general department) were trained. As a result in general the customer carried out setup of reference books and a system by forces of the employees. At the final stage heads and specialists of structural divisions to whom, among other, also technologies of work were shown in the web interface were trained.

EDMS "DELO" is used within administrative divisions of university. In a system, except the staff of the general department, work responsible for conducting electronic document management in divisions. Means of EDMS perform document registration (input of registration cards), document transfer on execution, execution control. It is in the long term going to expand automation section – to include in an EDMS circuit all divisions of AGMU, and further partially to refuse paper document flow in university.
