"OK" completed preparation for data exchange with the Unified State Automated Information System

OK (the ERP system implementation project) - the most large-scale Microsoft Dynamics AX project in the Russian retail in 2007. The retail chain stores in November, 2007 purchased the 750th user license Microsoft Dynamics AX.

Solution and Contractor Selection

The choice of the integrated management system was performed by company management "OK" in 2001 even before opening of the first hypermarket of network. While there was a construction of shop, the partner - Corus Consulting company and the product Microsoft Dynamics AX was selected.

Project Progress

The first project on implementation came to the end in May, 2002, by this moment using the ERP system the majority of the key business processes necessary for effective management of retail chain stores was automated. In particular, IT solution affected such areas as assortment management, stocks, purchases, vendor relations, the prices, retail sales and also printing of price labels, production (razrub meat, cookery and pastries) and the IT field.

The little made later a transfer of the solution in the network mode – a system had to ensure network functioning of shops which number constantly grew including outside St. Petersburg (by the end of 2007 the network contained 16 hypermarkets and 5 supermarkets in four subjects of the Russian Federation). With growth of network of hypermarkets before IT company management constantly there were new tasks which solution, in particular, required transition to the new version of the software product – Microsoft Dynamics AX 3.0. The new version began to function on January 1, 2006.

Difficulties of the project

The company was forced to work in two systems. There was a corporate information system of Microsoft Dynamics AX, however accounting was conducted in a system based on 1C. The company tells that such scheme of work ceased suit retail chain stores, and it was decided to transfer accounting functions to Microsoft Dynamics AX. "In 1C of version 7.7 the organization of access for users such is that everyone who carries out the movement of goods blocks the same connected tables, and other employees just should wait at this time", – Nikolay Zatravin, the director of information technology OK explains. Besides, according to him, 1C is not expected a large number of transactions, and even 50 users for 1C – are a lot of.

However, while finally it was not succeeded to refuse 1C of the company – this system is still used as "designer" for drawing up accounting and tax statements. "The C points of view of functionality it would be possible and to refuse 1C and all transactions of a message in Microsoft Dynamics AX, a system it allows, – the representative of Corus Consulting company Mikhail Burachkov says. – There is no sense of it yet to do since in this case both systems well perform the functions. The OK Lodzhistiks company performing foreign economic activity of retail chain stores can be an example of conducting all accounting and tax accounting in the environment of Microsoft Dynamics AX.

Project cost is not known.

Development of the project of transformation of IT infrastructure

On December 2, 2015 the O'KEY group announced the beginning of complex reorganization of the IT infrastructure directed to business process optimization and reaching the following qualitative level of business management. The partner "O'KEY within the project - CORUS Consulting Group.

According to plans of partners, transformation will affect all key information systems:

  • management of information base and advertizing campaigns,
  • clustering of shops,
  • assortment, category and financial planning,
  • pricing,
  • management of shelf space and purchases,
  • settlement with suppliers,
  • sales forecast.

Nikolay Zatravin, the director of IT department of O'KEY Group, noted:

The project of transformation of the IT environment will allow us to take a major step forward. The task force of Corus Consulting recommended to the customer to leave the Microsoft Dynamics AX platform as a core of future IT infrastructure - it has industry functionality and allows to automate all main business processes of the enterprise. It is offered to use the Oracle RPAS platform – the complex, integrated industry solution for process management of commodity and financial and assortment planning, demand forecasting and expanded pricing.

Within the first stage works on development of the main information system will be carried out, she is fated to become a basis for development of IT infrastructure, it will be transferred from the version of Microsoft Dynamics AX 4.0 on the version of AX 2012 R3. It is necessary to put into operation the system of replenishment, distribution and pricing on the Oracle RPAS platform.

Integration of ERP with the Unified State Automated Information System

On July 22, 2016 CORUS Consulting Group completed an implementation project of the solution for information exchange between the ERP system of retail network "O'KEY", Microsoft Dynamics AX and the Unified State Automated Information System.

New edition of the federal law on state regulation of production and turnover of ethyl alcohol, obliged all retail stores trading in alcoholic products to take since January 1, 2016 alcoholic products with fixing in the Unified State Automated Information System (USAIS).

In 2015 specialists of Corus Consulting developed the integration solution for data transmission in the Unified State Automated Information System. The O'KEY retail network made the decision on a project startup of integration of the ERP system with the Unified State Automated Information System.

List of functions of the integration solution necessary "OK":

  • opportunity for work with suppliers, sending/obtaining documents in/from the Unified State Automated Information System,
  • conducting necessary checks on the basis of the data obtained from the Unified State Automated Information System,
  • possibility of complete, partial acceptance
  • total failure from acceptance, write-off of alcoholic products through the Unified State Automated Information System.

In addition the solution archives the history of exchange with the Unified State Automated Information System at a large number of the processed documents. During integration of the Unified State Automated Information System and MS DAX into O'KEY Group the solution of Corus Consulting is adapted for use in shops of network.

In the conditions of new requirements of the regulator there was a question of operational integration of the current ERP system with the Unified State Automated Information System. Our retail network the flexible and productive solution for information transfer in the state accounting system was required. The integrator could develop essentially new functionality in a short time and build in it the existing technology systems. It allowed all shops of O'KEY company to perform since January 1, 2016 acceptance of alcoholic products according to new requirements of the legislation.
