Content

In December, 2007 the project on Microsoft XAL system implementation in Shcherbinka Otis Lift company, division Otis Rossiya was complete. The project was executed by consulting company NaviconGroup.

Customer

"Shcherbinka Otis Lift" surely takes the place among network of the enterprises of world OTIS. Today the enterprise develops and makes own winches for all types of domestic elevators. A half of the produced products is delivered to regions of Russia, 44% - to Moscow and 6% - the countries of the FSU and beyond. At the time of the beginning of the project the main task which faced the enterprise is entry into the European market and expansion of product modifications.

Project Task

Dynamics of business development and increase in production in the last several years resulted in need of high-quality improvement of business planning processes of purchases and production organization. The problem of timely obtaining the analytical reporting was not less relevant. The used systems satisfied requirements of the enterprise partially as covered area of receiving and data storage, and the possibility of operational processing and information analysis was limited.

Choosing a Solution

As a basis for creation of a management system for financial and economic activity of the Shcherbinka Otis Lift enterprise the Microsoft XAL system was used (earlier known as Concorde XAL). This system is the corporate OTIS standard for mid-size companies in Europe. Experience of projects implementation in the headquarters showed that the solution is successfully adapted for specifics of business of production company and contains necessary quantity of analytical dimensions.

Project Objectives

Main objectives of the project were: 1. Quality improvement of planning and organization of work of services of purchases, design department, production and accounting. 2. Process optimization of obtaining authentic analytical reporting

During the project key business processes of the company were formalized and automated: 1. Sales:

  • Obtaining the request from the client and formation of the order of sale
  • Approval of the order of sale
  • Formation and billing to the client
  • Registration of payment from the client
  • Control of payment of the order of sale
  • Shipment of finished goods to the client

2. Purchases:

  • Maintaining reference book of suppliers
  • Formation and order placement of purchase
  • Receipt of materials
  • Invoicing of arrival of materials
  • Payment of the order of purchase
  • Safe custody of materials
  • Subcontract works

3. Warehouse:

  • Inventory
  • Material transfer between warehouses
  • Inventory adjustment
  • Maintaining reference book of goods

4. Production:

  • Formation of specifications
  • Write-off of materials in production and an exit of finished goods
  • Accounting of production wastes
  • Defects accounting

Results

The project deadline made 1 year. The created business solution allowed to optimize and unify interaction of staff of different services. The software package covered the main sections of activity of the company: purchasing department, sales department, warehouse, production, design department, accounting.

Creation of a system of high-quality information support of business processes allowed to increase operational efficiency and to reach transparency of management. The management of the enterprise had an opportunity of operational obtaining the reliable information necessary for forecasting and decision support in key activities.

Business process optimization and complete mobilization of resources was necessary for increase in efficiency of activity of Shcherbinka Otis Lift company in the conditions of continuous growth. The implemented solution allowed to automate all functional areas of the enterprise: from material accounting before production planning. Creation of an integral corporate system for management of different aspects of activity led to simplification of information exchange between services, allowed to reduce production costs and also increased quality and efficiency of the analysis and planning.
