NOVARDIS and SAPIENS companies completed the project of automation of process of formation of the sales plan on shops of M.Video network. The solution on the SAP BW on HANA platform allowed to increase accuracy, to reduce terms of planning and to provide required detailing of planned data.

The existing approach to planning in M.Video demanded implementation of the new software as it did not conform to requirements of constantly increasing number of shops and did not allow to cope with the growing amount of data.

Olga Yemelyanova, Head of Department of budgeting and analytics of M.Video:

"Sales planning is a basis for the system of motivation of personnel of retail therefore requires transparent approach as in terms of quality of initial data, and put in the system of algorithms.

Need of transfer of schedule system of sales to SAP in 2014 was caused by two reasons:

1. Amounts of data, owing to the continuous growth of the company, did not allow to use the MS Excel and MS Access any more. Speed and scale of this type of software did not correspond to business scale any more

2. With growth of number of shops process of approval and correction of the purposes with management of retail represented long and labor-intensive process

In addition to goal-setting, the schedule system of sales is a basis for calculation of flexible working schedules of personnel in shops that means rather thin settings in detailing of the plan where any considerable deviation can cause incorrectly made working schedule, and, as a result, loss on sales or increases in staff costs".

Automation of planning process in SAP HANA allowed to use more exact algorithms on the large volume of data, to reduce terms of formation of the monthly plan and to increase transparency of formation of the motivational plan for directors of shops of retail network due to flexible configurations and the system of adjustments.

Lyubov Filimonova, head of group of budgeting and planning of M.Video:

"Using possibilities of automation on the SAP HANA platform, we could increase significantly quality of the statistical data used for planning by means of system cleaning of influence of actions and extreme emissions and also had an opportunity to apply different approaches to planning of goods and services without risks of emergence of the stand-alone errors and failures connected with the permanent growth of number of shops. We achieved end-to-end and instant recalculation of data at the level of the maximum detailing after each change on each process step that allowed to increase considerably quality of the analysis without risks of loss of integrity. We could get rid of large-scale manual copying of data, having minimized thereby errors, considerably having reduced terms and having received economy of resources".

Feature of the project it is possible to call the automated settlement process of the plan for month with a step at one o'clock for all shops of retail network taking into account working schedules of shops. Manually it is not possible to execute such detailed calculation for four hundred shops. This process allowed to be flexible hours of involvement of personnel and it is correct to distribute workload that reduced staff costs.

"Thanks to opportunities of SAP BW on HANA together with partners we managed to automate rather difficult and labor-consuming business process and it is essential to improve planning algorithms as the speed of system operation allows to use more difficult and more exact planning methods.

Also what is important, it was succeeded to create well worked and failsafe process which requires the minimum efforts on support from an internal command".

Planning process of sales plays an important role in company management and affects a large number of employees. Before start of a system the pilot start approximately for 20% of participants which showed that a system completely meets expectations and allows to execute productive start in SAP BW on HANA without duplication in Excel at once was executed.
