Content

Main objectives of implementation of EDMS

  • Automation of internal business processes of the company, processes of interaction of the divisions/organizations;

  • Automation of creation and processing of the entering, outgoing and organizational and administrative documents;

  • Control of performing discipline;

  • Reduction of terms of approval of documents;

  • Creation of uniform archive of electronic documents;

  • Ensuring transparency of processing of documents at each stage of lifecycle;

  • Quick search of documents and obtaining relevant reporting.

Product Selection

The choice of the 1C: Document Flow system is caused by existence in the company of the operating accounting system on the 1C Platform - 1C: Manufacturing Enterprise Management.

Besides after the main implementation the company planned further maintenance of a system and development of functionality by own forces: in the state of IT department of the company there are three qualified specialists familiar with the 1C Platform.

Organization of work

For optimal use of resources own technology of 1C-KPD company - the Technology of modular implementation allowing to receive result in the shortest possible time was selected.

In total in a work progress 5 modules are implemented:

  • Integration of reference books with the standard accounting system 1C:Enterprise 8 (management of manufacturing plants)

  • Setup of the normative reference information

  • Registration of the entering and outgoing documents

  • Organizational and administrative documents

  • Differentiation of access rights

Description of implementation

1) Reference books of the 1C: Document Flow and 1C: Manufacturing Enterprise Management systems are synchronized:

  • Projects (specific rules of converting were developed);

  • Partners (synchronization on a unique identifier, then - on a sheaf the Name and a TIN);

  • Users;

2) Document types are configured: entering (Incoming letter), proceeding (The Outgoing letter; Guaranty letter; The Claim), internal (The order on primary activity, the Order on primary activity, the Job description, Regulations on division, the Regulations, Provision, the Instruction, the Rule);

3) Numerators on all document types are configured;

4) Templates of complex business processes for document types are configured: The order on primary activity, the Order on primary activity;

5) The business process template Statement is configured using a non-standard condition of routing: on a role of the user from a field signed (a condition in the built-in language);

6) Access rights of users are differentiated (the following profiles are implemented: The administrator, Executing stream scanning, Clerks, the Control of daily reports, Control of tasks and business processes Responsible for NSI, Users, Work with the entering and outgoing documents, the Head of department, and also non-standard profiles of groups of access: Registration of internal documents, Registration of outgoing documents);

7) Differentiation of access rights taking into account nuance of the rights to registration: not only clerks, but also users in divisions can be engaged in registration of internal and outgoing documents. For implementation of this business challenge 2 new profiles and groups of access where the corresponding user groups entered were created. Also necessary additional tunings of Settings of availability on a status were executed.

Results

All entering and outgoing documents are created and stored in a single system thanks to what their search is considerably simplified. Work with documents is also entirely conducted in EDMS that reduces risks of failure to meet time constraints of tasks and allows users to see at what stage of lifecycle there is a document. Many processes connected with document flow of the organization (acquaintance of employees with internal documents, the direction of the document for consideration and a statement) are simplified. The management had an opportunity to control the course of processes and execution of tasks.
