LAD Group of Companies has automated the accounting of the use of employees' working time in the Russian division of Thyssenkrupp Industrial Solutions. Created on the basis of "1C:Enterprise 8" using "1C:Subsystems Library," the Time Accounting System helped to organize the operational control of the time spent on projects. It became possible to analyze the labor costs of specialists by projects, stages, project tasks, as well as individual departments and categories of employees. The accuracy of calculating the cost and profitability of design work has increased. All this helps the company to efficiently plan project activities, flexibly manage all stages of work and efficiently use employees' working time.
ThyssenKrupp Industrial Solutions LLC (RUS) is a regional organization of the German company Thyssenkrupp Industrial Solutions, one of the leading enterprises in the field of international design and construction of chemical, petrochemical, oil refining and other industrial plants. The company offers a complete package of services: from concept development and design to construction, commissioning and maintenance of equipment. For more than 60 years, Thyssenkrupp Industrial Solutions has been cooperating with foreign investors and Russian enterprises. During its work in Russia, the company has designed and built more than 50 plants in the field of chemistry and petrochemistry, some of which are turnkey.
At the same time, the company conducts about 10 complex projects, the deadlines for each of which can be 2-3 years, several dozen employees work on each of them. To effectively manage projects, the company needs to efficiently plan the working hours of specialists and control their labor costs at each stage of design work. In addition, according to the employee's qualifications and role in a particular project, the cost of the hourly rate is set, so the accuracy of the work time calculation depends on the accuracy of the cost estimate and the profitability of the projects.
Previously, the accounting of employees' working time in the company was not fully automated. Information on actual labor costs for contracts, contract milestones and internal work/projects was recorded on paper and then transferred to the accounting system. The data on the actual labor costs of specialists were available for analysis only in the next month after the work was completed. It was difficult to monitor the work of employees and keep detailed records of labor costs by type of work within the contract.
The company needed an information system that, in addition to the existing means of planning and monitoring work, would help to organize more accurate accounting of the use of working time by employees; strengthen control over the effectiveness of its use.
For operational and regulated accounting, the company has already successfully used 1C programs, therefore, it was decided to develop a time accounting system (hereinafter referred to as SURV) also on the 1C:Enterprise 8 platform. Lad Group of Companies, which provides 1C: Accounting 8 maintenance services to the company, was chosen as the system developer.
To create ERF, it was decided to use the capabilities of 1C:Subsystems Library (BSP), which is a set of universal tools for the rapid development of application solutions on the 1C: Pre-development platform.
For six months, the system was developed and deployed at all 350 workplaces of the engineering staff of the enterprise in the central office in the city of Dzerzhinsk and a branch in Nizhny Novgorod. The exchange of SURV data with the information systems already used in the company was established: from "1C: Payroll and HR Management 8" to SURV, information about the organizational structure of the enterprise, employees, their work schedule, vacations, sick leave is uploaded. Further, the reports received from the ERF are used in 1C: Accounting to distribute costs and calculate the cost of production.
Key Project Deliverables:
- Employees "working time is recorded promptly. Specialists involved in work on projects now enter data on the use of engineering watches into the SURV every day. Based on this data, the system generates various reports that allow management to monitor and analyze labor costs for projects, milestones, project tasks, as well as for individual departments and categories of employees. The data is available for analysis as soon as it is entered in the field. Based on the data obtained in real time, the actual costs are analyzed as planned, the productivity of employees and departments is monitored, the company's performance indicators are calculated, and further work is planned.
- The company's performance discipline has increased. Understanding that each specialist's working day is now completely transparent to managers forces employees to mobilize and make more effective use of their working hours.
- It became possible to objectively assess the qualifications of performers, correlating the complexity of tasks with the actual time spent on their execution. The manager is available online about how long it takes to complete a particular phase of the project, a certain type of project work, and what level of skill is needed for this. This helps you plan and control each phase of the project more efficiently.
- Accurate data on the number of engineering hours spent on project work allows you to more accurately calculate the cost of projects and control their profitability.
Lebedev P.V., Director of Economics and Finance: "The time accounting system based on" 1C:Enterprise 8 "helped the company eliminate paper document flow for accounting for labor costs for external and internal projects, organize more efficient accounting and control of the use of engineering hours and, in general, increase the efficiency of work on projects. The management highly appreciated the results of the project and in the near future the SURV system will be replicated for another 20 jobs in the Moscow branch. "
