Baltman, retail network

Automation of retail network of Baltman company, mainly being in regions of Russia, using LS Retail based on Microsoft Dynamics NAV took place in a short time. Besides, specialists implemented integration of software of shops and the Russian office into the solution based on Microsoft Dynamics NAV used at head office of the client in Tallinn, Estonia.

Situation. In Russia "Baltika Group" is two-level holding. The first level is the management company organizing commodity-money flows between producer and retail stores. The second level is retail stores. It should be noted that most shops are located in regions of Russia. In connection with rapid business development of the company there was an urgent need for an effective and qualitative product which comprehensively would help with company management.

Choosing a Solution. When choosing a system for automation of network in Russia by the company management planned the solution of the main objective – ensuring integration of the Russian shops with an information system at the central office "Baltika Group" to Tallinn, Estonia. Along with it there was an effective objective to automate retail network in Russia and the central office in Moscow taking into account specifics of business and the international nature of business. For achievement of effective objectives the LS Retail system based on Microsoft Dynamics™ NAV and Impact-Soft company as service provider was selected.

Solution. For the solution of effective objectives specialists Impact-Soft in the Russian shops was implemented by LS Retail, and at the central office in Moscow - LS Retail – Back Office.

At the Moscow office of the company using LS Retail the following functions are performed:

• Maintaining supplier list;
• Accounting of customs payments;
• Registration of a SCD and Certificates of conformity for a batch;
• Accounting of receipt of a batch on a warehouse of branch or in shop;
• Maintaining list of retail firms (commission agents);
• Maintaining agreements with commission agents;
• Sales accounting and returns of goods according to the report of the commission agent;
• Accounting of remuneration to the commission agent;
• Maintaining list of advance holders;
• Preparation and accounting of the expense report;
• Preparation of the procedural reporting;
• Preparation of documents for transfer of goods on the commission according to specifics of business in Baltman company;
• Filling of the Reference book of a BIC of the Central Bank of the Russian Federation and updating of an exchange rate of foreign currencies, with modifed import of these reference books from the Internet server of the Bank of Russia;
• Processing of bank statements;
• Commodity inventory;

Practically all functionality is finished by specialists Impact-Soft according to specifics of Baltman company. Also especially for Baltman company the functionality of determination of national characteristics of goods, in particular the translation of names, transfer of the sizes in commonly accepted since the Baltman company developed own scale of the sizes is finished. Completion "Transfer of Options on the Sample" which offers the inventory with options without transfers is made, saves the transfers entered into manual, executes automatic translates options of goods with identical codes and so forth. The magazine of Transfers allows to execute the translation of the description of commodity options on any of the languages supported in Microsoft Dynamics™ NAV (for example, into Russian).

The retail firm, as a rule, manages network of retail stores and performs the following functions:

• Provides acceptance of the goods transferred according to the commission agreement in shops.
• Executes goods marking by labels.
• Will organize sales of goods.
• Provides sales statements in management company (committent).
• Makes calculation for the sold products.
• Upon the demand of management company periodically makes goods revaluation (change of retail price, periodic sales).
• Provides the procedural reporting in tax authorities.
