Gazprombank implemented the information retrieval system for work with internal regulating documents

The Lanit company created the Regulatory Base of Bank information retrieval system for Gazprombank joint-stock company. Within the project Lanita faced a command a task to create the uniform protected information space for information and technology support of work of staff of head office and branches of Gazprombank with internal regulating documents. Support of storage of different editions of documents and also providing internal and external relations between documents was obligatory.

The system created Lanity is developed and implemented on the basis of the MS platform of SharePoint Server 2010 using the search system MS FAST Search Server for SharePoint and implemented in the form of a subsystem of a corporate informational portal of bank. Thanks to integration of a system with Active Directory MS Windows directory services using SharePoint Server mechanisms and also opportunities of flexible configuration of personal and group access rights to documents access to a system was received by all staff of head office and bank branches according to a position and belonging to divisions.

"The regulatory base of bank" provides to employees access to current versions of documents with opportunities of attributive and full-text search, permits navigation according to the connected documents and document revisions, creation of own selections of documents, allows to prepare the reporting. Within the project automatic loading in the system of all existing regulating documents of bank with the subsequent automatic loading of the new approved documents was organized. It is provided due to integration of a system with internal systems of office-work and document flow of bank, explained in Lanita. A system automatically creates the statuses of action of documents and sends adequate notices to the interested users. Thus employees of the bank timely learn about emergence new, suspension, cancellation of regulating documents of bank.

Specialists Lanita developed a format of submission of the text of the regulating document for work with internal regulating documents. From source files in formats Word Excel, Visio, by .TXT, .PDF information is automatically loaded into a system in a special format. The business administrator locates the interface for execution of the text of the document, an insert of internal and external references, links to determination of terms, communications between documents.
