Kesko Riel Estate manages agreements in Directum

The Avis Expert company, the general partner of DIRECTUM, completed in the spring of 2016 the project of process automation of a contracted work based on an ECM system in Kesko Riel Estate LLC. The customer notes increase in transparency of approval of agreements and already makes plans for development of a system.

Kesko Riel Estate LLC performs the activity connected with investments, construction and real estate administration of KESKO corporation. The corporation possesses the food enterprises, the enterprises for production of the agricultural equipment and also retail chain stores for car sale and goods for the house.

Before implementation of DIRECTUM document flow of the company was conducted in paper form, for exchange in the company e-mail was used, and documents were stored on network drives. Processes were opaque, there were difficulties with security of information.

For decrease in labor costs, accelerations of document handling and transition to their electronic approval to the companies it was decided to implement the DIRECTUM ECM system. Within the project it was necessary:

• minimize losses of documents;
• increase security of corporate information;
• differentiate access rights to documents;
• optimize and accelerate approval of agreements;
• reduce risks of idle times in work with the help of the mechanism of substitution of the absent employees.

As a result of implementation of DIRECTUM for the staff of Kesko Riel Estate LLC uniform access to corporate information is organized, and the mechanism of differentiation of the rights ensures confidentiality and safety of data. Thanks to the structured storage and a single system of classification, employees spend less time for search of the necessary documents. The transparency of processes increased: there was an opportunity to keep track of the status of the document at all stages of work with it, to control approval terms.

Thanks to the configured synchronization of data from the accounting system of 1C in DIRECTUM, in an ECM system the relevance of information on workers and an organization structure of the company is maintained.

Based on the solution "DIRECTUM: Contract management" procedures of formation, approval, registration of contractual documents, their sendings to partners and return control are automated. Approval stages in the company depend on category, the amount and other parameters of the agreement. At the expense of the analysis tools which are built in the solution dynamics of contract activities of the company quickly is traced.

In DIRECTUM 75 employees of Kesko Riel Estate LLC work. In the company the Russian-and English-language system interface is implemented. Training of employees in work in DIRECTUM was provided also in two languages. Today the customer considers the possibility of development of functionality of a system.
