Content

On May 23, 2016 the Electronic DELO company, the partner of EOS Group in Republic of Belarus, reported[1] about workflow automation in military units of bodies of the border service of the country. The project is implemented within scaling of EDMS of the State boundary committee of Republic of Belarus. The CASE system of EOS Group company adapted taking into account specifics of document flow in the organizations of Belarus became the platform for automation.

Project Progress

Within the project specialists of Electronic DELO company developed typical circuits of work with documents and uniform approach in the organization of electronic document management is approved. For each military unit the separate database is created, reference books and user rights according to unified by standard technology of document flow of military units of the border service of Republic of Belarus are configured. For each database maintaining the entering and outgoing documentation, citizens' appeals and legal entities, internal documents of bodies of the border service is configured. The possibility of scanning of documents and also signings is provided with their electronic digital signature. Connection of EDMS of military units to the system of interdepartmental document flow is organized. In pursuance of requirements for security data transmission is performed using secure channels of communication of bodies of the border service. Also specialized report forms which allow to obtain quickly different information on the documents created in all territory of Republic of Belarus were set.

Project Results

Implementation of EDMS in military units of the border service of Republic of Belarus allowed to achieve the following results:

  • transition from the journal registration form of documents to automated provided fast and convenient registration of the entering, outgoing correspondence, internal documents using the unrolled system of different reference books;
  • fast and high-quality control of execution of documents is provided;
  • the possibility of convenient and quick search of information on documents on any details of a registration card is implemented;
  • formation of different reports on document flow is automated.
