Minsk subway implemented EDMS

On May 30, 2016 the Electronic Case company reported^[1] about implementation of EDMS in the state enterprise "Minsk Subway".

Choosing a Solution

For automation of office work processes the enterprise selected one of the systems of the class EDMS/ECM, most popular in the republic, – Electronic Case adapted for the Belarusian normative and methodical requirements the solution based on EDMS "DELO" of EOS Group company.

Project Progress

Within the signed agreement the Electronic DELO company automates jobs of clerks and also users in divisions of management personnel of GP "Minsk Subway" participating in document flow. All leadership team of the enterprise is connected to EDMS, the subsystem of "Delo-Web" is for this purpose purchased.

In a system registration of 30 document groups is organized. The right to registration of some groups is distributed between different employee categories for the purpose of more operational passing of documents to contractors.

Scanning and document transfer in electronic form in structural divisions of the enterprise is provided (including in deleted). Approval of draft documents in electronic form is configured and the possibility of their signing is provided with the electronic digital signature. The time available for delivery of documents to contractors was considerably reduced. Control of execution of documents is automated.

For the purpose of informing contractors on receipt of new documents and the coming completion dates the subsystem "Notifications and notifications" which allows to direct in the automatic mode to e-mail of users necessary information is configured. Interaction with the system of interdepartmental document flow (SMDO) is configured.

All heads having right to sign received electronic digital signatures that allows to transfer a part of document flow only to an electronic form without creation of documents on paper carriers. Connection to EDMS of all workers involved in document flow of the enterprise is in the long term planned.
