Implementation of ERP-Lexema in "220 Volts"

Company "220 Volts" works at the market of electrical equipment since 2001. The company is engaged wholesale, retail of home appliances. The network of retail stores and distribution centers are provided in Ufa and in Neftekamsk. Production of the metalbody and metalwork, assembly of the electropanel board equipment and production of distribution and installation boxes from plastic are placed in Neftekamsk. The service center in Ufa performs repair, service maintenance and return to the producer electric equipment.


The specifics of IT infrastructure of "220 Volts" were caused by features of the distributed organization structure of the company. At the enterprises entering into group "220 Volts" separate installations of 1C were used. Due to the lack of integration between the different systems monitoring of activity of the company generally was complicated. Creation of an overall picture of results of activity required big labor costs as specialists did not locate the centralized knowledge base and necessary tools for work with it. Feature of accounting on "220 Volts" is existence in its structure of the enterprises with the different systems of taxation (SP and Ltd company).

Implementation of boxed programs was not represented possible and it was required to deliver a single system of accounting which would consider all features of accounting of the company and allowed to obtain operational information on implementation and on a remaining balance in warehouses.

The basis of the solution was formed by own development of EcoSoft company – ERP-Lexema on the Lexema platform. During the project the product was adapted for requirements and business processes the customer.

The server of the program was installed at the central office of the company, and territorial and remote divisions get access to it through the Internet via secure channels of communication.

Use of the Lexema platform allows to implement projects in extremely short time. From the agreement signature moment prior to the beginning of system implementation on "220 Volts" there passed only 2 months.

Implementation in the company was begun with the module "Retail". It was developed by specialists EcoSoft especially for implementation of this project. For the organization of a workplace the ERP-Lexema WEB INTERFACE since for the organization of uninterrupted contact with the server the minimum requirements to a communication channel are imposed was selected. The functionality considers all features of work of retail outlets of "220 Volts", such as barcoding of goods, address storage of goods, bonus system and system of discounts for buyers (a discount for purchase, the special price for the specific buyer, etc.). In the module the bonus system for managers and sellers including 2 types of bonuses is implemented: a bonus from the producer of goods and a monthly award based on work from "220 Volts". Setup of algorithms of bonuses is performed by users of a system and does not require entering of complex changes into the program.

Other important activity of "220 Volts" is wholesale by purchased home appliances and self-produced goods. For work of this division modules according to the statement of issue documents were delivered to buyers, maintaining base of regular customers and agreements with them, an inventory control. For acceleration of collecting and issue of goods according to delivery notes in a system the workplace of the storekeeper is implemented. The storekeeper obtains information on the documents processed in a system by managers and without waiting for arrival on a warehouse of the buyer with printed form of the delivery note can already begin collecting of the order. With it it is very much helped by the system of barcoding and address storage, allowing to find quickly required products in a warehouse, to note the collected and shipped goods in the document in a system. Acceleration of processing of the order promotes increase in loyalty of buyers since saves them from need to spend time for waiting of collecting and issues of the order.

Equipment manufacturing in "220 Volts" consists of two stages: production of the body from sheets of metal and the subsequent complete set their electric equipment (electroguards and electric transformers). In ERP-Lexema production scheduling, accounting of the made products and cost accounting is implemented. The production schedule is based on the list of the arrived orders for production. On the basis of the production schedule and process charts the operating plan of production by orders, divisions, technology transactions and transitions taking into account available personnel and the equipment forms. Accounting of material and non-material costs on production is conducted by orders. Also all necessary documentation on orders (drawings, technical documentation) is stored in a system in the form of the files attached to the order.

The service center is the division, very specific on the structure, performing repair and replacement of the failed electric equipment. On each unit of faulty electric equipment the service card in which all manipulations made with it – repair are reflected (with indication of the replaced parts and creation of the request in production) or return on a guarantee of the producer is got. Also it is noted whether the case is warranty or not. The entered data automatically are reflected in other system modules, for example, at repair of electric equipment using parts from a warehouse, data in an inventory control on movement of parts from a warehouse and their write-off for needs of repair form. From a service card documents of vendor interaction - write-off of the defective goods which are not subject to repair, a supplier return, exchange of goods, etc. are created.

In ERP-Lexema was supply of the company with materials and goods is implemented. Each division creates the requests which are aggregated then in a system in one big request. And already on the basis of these compound requests requests to suppliers form. After arrival of materials and goods on a warehouse their distribution by divisions which ordered them with reflection of data in accounting and warehouse accounting automatically forms. The initiator can trace a status of the order at all stages.

Implementation of ERP-Lexema in "220 Volts" allowed to organize the centralized knowledge base about business processes of the company, increased employee performance due to automation of routine transactions, business became more "transparent" for the management and also the possibility of operational regulation of requirements of the company appeared.
