"COMMUNICATION security" implemented EDMS

On October 17, 2016 AF ICL-KPO company announced transition of Federal State Unitary Enterprise SVYAZ-bezopasnost to electronic document management. With the contractor in the project AF ICL-KPO company worked.

Project Tasks

As a part of the enterprise customer more than 70 departments across all Russia work.

In each branch before project implementation own order of document handling worked that complicated information exchange process. The staff of the enterprise faced a number of problems:

• insufficient control of execution of instructions,
• the complicated search
• progressive tense of delivery of documents in paper form.

For increase in efficiency in work with documents, the management of the enterprise made the decision on implementation of electronic document management and creation of a centralized system of interaction between branches.

Project Progress

JSC ICL-KPO VS and Federal State Unitary Enterprise SVYAZ-bezopasnost have an experience of joint activity - in 2016 the project of updating of computing powers of the enterprise in failsafe option is complete.

For the organization of an electronic document management system partners selected the Russian Docsvision platform.

The project is executed step by step. At the initial stage processes of registration of the entering and outgoing correspondence, management of organizational and administrative documentation, exchange of internal documents, both in branches, and between them are transferred to an electronic form. Afterwards work on approval of agreements in electronic form on the platform of the Docsvision "Dogovory" application is automated. For this purpose specialists of the company contractor carried out completions according to requirements of the customer.

Project Results

Having faced a low performance of traditional forms of work with documents, the management of Federal State Unitary Enterprise SVYAZ-bezopasnost set for us the task to create the simple and convenient tool for the organization of process of document flow. The main complexity consisted that the enterprise has a wide branch network across all Russia which are territorially deleted from each other. As a result we managed to develop the solution which considerably simplifies document handling both in branch, and between them. Its uniqueness that it is easily replicated. In spite of the fact that within the project the central office and two pilot divisions were involved in Nizhny Novgorod and Kazan, resources of the solution allow to cover all remained branches without prejudice to the speed and availability. Feature of the project - integration of EDMS with the accounting system of 1C of the customer regarding automation of contract activities: reference books are synchronized, and the approved agreements automatically are transferred from EDMS to 1C.
