Administration of Saint Petersburg automated the procedure of management of premises

On October 20, 2016 the Conteq company announced project completion on the implementing solution "Management of Armoring of Premises" based on DocSpace EDMS/ECM system in the Administration of the Governor of Saint Petersburg.

Project Objective

Automation of process of armoring of halls in a complex of buildings of Smolny was a main objective of the project. The solution "Management of Armoring of Premises" allows to display employment of all negotiation and conference rooms on one calendar grid.

Project Progress

First of all problems of creation of a convenient booking system and distribution of loading negotiation and conference rooms were solved. The solution allows to provide information on the planned actions, their dates and time and to display a current status of the premises.

The module "Management of Armoring of Premises" included eleven halls of a complex of buildings of Smolny. The solution allows to implement a possibility of approval and resource planning, necessary for holding an action, to define responsible for confirmation or cancellation of the premises. When planning necessary resources, the additional equipment included in the solution, for holding actions is considered. The list contains data: tables for registration, awards, flowers, covers (for surnames), devices for signing, synchronous translation of the speech, etc. Also, the module allows to send notifications responsible about a request for armoring of the premises with the list of necessary resources, to differentiate access rights between employees, to remind of armoring, visually and just to display employment of premises directly on the calendar.

The solution "Management of Armoring of Premises" provides approach to routine process of preparation and armoring of halls, doing it to faster and eliminating the unpleasant collisions connected with purpose of actions in the same place for the same time.

In the course of the implementing solution "Management of Armoring of Premises", project managers on client side were most involved in the project at all stages that allowed to reach a full compliance of project deliverables to tasks in record-breaking shortest possible time.
