Dmitry Pshichenko, "Locomotive technologies": We save millions of rubles a year with the DIRECTUM ECM system
Dmitry Pshichenko, the director of the department of development and deployment of information systems of Locomotive Technologies company in an interview of TAdviser told about features of the choice, implementation and use of the DIRECTUM ECM system.
The group under control of Lokomotivnye tekhnologii LLC successfully works 2 years with the DIRECTUM ECM system. Than, in your opinion, ESM helps business?
Dmitry Pshichenko: It is worth recognizing what we have in the country the majority of the tasks solved using ESM-systems are limited to document flow. The term "ESM" is still applied generally to problems of control automation by organizational and administrative documents. It can be considered one of the most striking and peculiar features of the Russian market of content management. At the same time the effect is reached only at the bottom, operational level of management. We consider an ESM-system slightly more widely, in particular, as the concept within which the main attention is paid to strategy and methods of work with all types of information. Such approach allows to gain effects at the same time at all levels of management – strategic (long-term), functional (medium-term) and operational (short-term).
Tell in more detail about effects at each level of management. What managed to be reached?
Dmitry Pshichenko: If to speak about the bottom (short-term) level of management, we optimized and centralized information streams between the organizations of holding, provided quick access to information for divisions, geographically distributed through the whole country, simplified and facilitated interaction of employees in a command, created a convenient working virtual space. Therefore time for approval of documents was significantly reduced, the quality of the rendered services increased, the performing discipline, and, therefore, and efficiency of works increased.
What tactical problems did a system allow to solve?
Dmitry Pshichenko: First of all it is control of execution of instructions, increase in transparency of business processes and controllability of business in general. Availability of information provides ease of decision making and planning and, as a result, improvement of production indicators.
In the long term how implementation of ESM affects success of business?
Dmitry Pshichenko: ESM is a basis for business development, it provides its integration and the innovation activity, allows to increase competitive advantages due to economy on costs, to commercialize the new ideas and to be focused on increase in efficiency of activity of the enterprise in general.
You mentioned economy. Whether a system and how many the pecuniary benefit in terms of money makes pays for itself?
Dmitry Pshichenko: Precisely it is quite difficult to calculate influence of a system on profitability of business. However if to put effect of performance improvement of work of workers, significant saving of time for approval of documents and reducing costs of supplies, then it, by our calculations, pours out annually in tens of millions of rubles.
Now, when the most part of works already behind, tell when for the first time and why there was a need for ESM?
Dmitry Pshichenko: In 2014 the Lokotekh group received the most part of the locomotive park of the Russian Railway on complete service maintenance. Under our responsibility passed obligations for all types of running repairs and maintenance of locomotives, and these are over 15,000 items of equipment. For effective management of information streams, arriving from different sources and in different formats, the modern and technological tool was required. Then we also thought of creation of a single corporate system of content management and electronic interaction.
How did selection process and why stopped on DIRECTUM happen?
Dmitry Pshichenko: Today Lokotekh − one of 400 largest Russian companies. Daily we create the 10-ki of thousands of documents – not each ECM system will cope with such volume. Therefore the high scalability and functionality and also reliable and safe electronic archive were the main criteria. In the conditions of real operation six leading domestic and foreign ESM-systems were tested. Among them DIRECTUM completely answered all to the stated criteria. In its advantage wide functionality – about 60 ready modules, – presence of loyal clients, openness of the platform and the intuitive interface acted: during the project it was going to connect over 5000 users with the different level of computer literacy.
By what criteria did you select integrator of the project?
Dmitry Pshichenko: First of all we selected the reliable partner with successful experience of projects implementation, similar to ours. Its high competence is demonstrated, as a rule, by positive reference reviews. Secondly, were guided by the company capable to approach flexibly implementation, to analyze and reveal "bottlenecks", to render high-quality consulting services. Thirdly, estimated adequacy of the price offer. Based on the choice, preference was given to the MiTek company which offered the best combination of qualification, the price and quality.
What was made and at what stage there are works now?
Dmitry Pshichenko: The first stage implements a pilot project of system implementation in UK "Locomotive Technologies" and 4 subsidiary companies in Moscow. Began with automation of simple standard tasks – processes of office, work with instructions, contractual documents, organizational and administrative documentation, etc. At the subsequent stages the solution was replicated on other companies of holding – 10 Zheldorremmash plants and 12 TMH-Service branches (92 service locomotive depots through the whole country). The general scope made more than 25 technical and business solutions and about 5000 users.
Today − to pass the purpose to completely paperless document flow. And here we are faced by serious organizational problems which DIRECTUM will help to solve.
Whether you are happy with a project deliverable?
Dmitry Pshichenko: Already it is possible to tell with confidence that the choice was correct both concerning a system, and concerning integrator of the project. Professionalism and technological effectiveness of work of MiTek provided visible results on each of stages. Not so long ago we generalized key indicators of efficiency and published analytical article in which in detail told about how there were works on system implementation of DIRECTUM what effects managed to be reached, and gave some statistical data confirming the growing prospects of the project.
