On November 24, 2016 the Naumen company announced an implementation project of an electronic document management system of Naumen DMS in AsiaCredit Bank IT infrastructure.

Project Tasks

According to the statement of the press service of the company integrator, transition to Naumen DMS technology is caused by limited opportunities of the former Lotus Notes system which did not conform to modern requirements, high total cost of ownership (TCO) of a system. To bank more powerful solution capable to provide centralized operation with business processes was required, to optimize document flow at the level of filial structure.

For replacement of the obsolete and dear western supplier in system maintenance we selected the Russian solution Naumen DMS. Along with the optimal cost of service and fast payback a new system completely provides functionality necessary for us, including, allows to work from the web interface that in an old system was impossible. Besides, earlier we automated IT service based on the product Naumen which perfectly proved and successfully by us is used. Therefore a choice by us was made on the basis of trust to the Russian company and its high-quality developments.

Project Progress

Within the project from three stages specialists of Naumen performed a complex of works taking into account relevant needs of the customer.

For data transfer from Lotus Notes in the Naumen DMS system the module of import of information is finished. Regarding synchronization of organizational and regular structure integration of the Naumen DMS platform with web services of a system 1C and a directory service of the Active Directory is implemented.

Project Results

On the platform of the implemented solution process management of office-work of bank, including, operational processing of the entering, outgoing and in-house documents, internal regulating documents, orders and orders is provided. Process of document flow is regulated. Speed of approval of documents increased. At the expense of a possibility of collective work with documents in the unified automated environment it is possible to trace a route of the movement of the document, its status now: on what processing stage there is this or that document who the contractor and what resolutions are taken out according to the document.

Search time of documents was reduced. The movement of documents between bank branches accelerated, the performing discipline increased, the maximum transparency and effective management of office-work processes, business processes of bank are reached.

The specifics of processes of office-work in bank require special approach to the choice and implementation of EDMS in terms of security, availability and also, development opportunities regarding business process automation. The efficiency of bank, its competitiveness directly depends on efficiency of the workflow system. Relying on the experience, we implemented all tasks of the project, having provided to the customer the reliable and scalable tool meeting relevant requirements of modern bank.

For November 24, 2016 EDMS Naumen DMS works in the mode of working operation. All structural divisions and branches of the customer in 10 cities of Kazakhstan are connected to an end-to-end information system. About 600 employees of the bank work in the automated environment.
