Dixy completed control automation by lease agreements

On December 19, 2016 the press service of CORUS Consulting group announced the project of control automation and accounting of agreement settlements of lease of premises by request of DIXY Group.

Project Tasks

Most DIXY shops work in leased premises. At their choice the company pays special attention to the area, arrangement and the rent as these factors have the increased impact on turnover. Earlier in DIXY there was no uniform agreement base of lease and information, and the cost of lease was calculated in Excel — it led to errors and inaccuracies and also created a set of difficulties: untimely payment and risks of agreement cancelation, an overpayment, distortion of actual data and lack of signed documents for permission of matters of argument.

To avoid similar problems in the future, the management of retail network made the decision to create a single system in which management of rent charges would be automated. The financial circuit of a corporate information system, at integration with an electronic document management system, capable to give all necessary opportunities for creation of a management system for agreement settlements of lease of premises became the platform for project implementation.

CORUS Consulting Group, cooperating with DIXY on a number of projects, in particular, on automation of preparation of the international and management reporting became the partner of the project.

Project Progress

To exclude double entry of data integration of cards of the signed lease agreements between an electronic document management system and a financial circuit of a corporate information system in the course of their approval is implemented.

The base of the master data determining parameters and algorithms of calculation of rent charges for each agreement and the supplementary agreement is created. On a case of change of parameters of the agreement with the lessor, specialists of integrator provided version control. Besides, the solution automatically calculates charges and payments on the basis of the entered data.

Project Results

Management of the rent — a task, strategically important for us. Thanks to Corus Consulting today we have an opportunity to control rent expenses of all our shops, to cut down expenses on penalties for untimely payment of lease payments and to avoid risks of closing of the shops connected with interruptions in payment. We are going to go further and, having finished a system, to use it as data source for plans of budgeting and also for the analysis of the reasons and dates of emergence of deviations under the terms of lease.
