On December 23, 2016 the Informkontakt consulting company (Alfa System) announced implementation of the project on creation of a personnel management system of Federal State Unitary Enterprise Instrument-making Plant. Based on the solution Alfa-HRMS the problem of ensuring electronic vising of the documents of personnel management created in Alfa-HRMS was solved.
Project Tasks
Long approval of the printed orders (orders) on personnel by the vising persons was the main premises for use of electronic vising in Alfa-HRMS that, in turn, quite often led to untimely performance of a document. And if orders on surcharge for increase in volume of work are at the wrong time signed, for example, then the delay of the put employee benefit and, as a result, unnecessary "tensions" in labor collective is possible.
Besides, the organization of logistics of vising, tracking of a current status, control of safety and confidentiality of the document required considerable time expenditure of the specialist providing passing of the order on all chain of approval. At the same time duration of vising of the paper document was in direct dependence on quantity approving (as a rule, it is the direct head, the head of department, the lawyer, the specialist of department of work, the HR specialist) since on each of them, taking into account natural migration of documents in packs for the signature, about two working days were necessary.
Project Results
With Alfa-HRMS everything became simpler. At the time of creation of the order necessary set of the vising persons automatically forms. After filling of attributes of the order it is transferred to approval, and vising participating in the sheet users instantly see the order transferred to approval in the workplace (and if desired – and in the e-mail).
Within a month electronic vising was configured, started and is debugged on pilot types of orders. Now new types of orders are connected to electronic vising in one day.
Directly process of vising of orders was estimated also by vising – a simple and user-friendly interface, immediate reaction to return to the contractor of the document which received the negative visa, an opportunity to trace a current status, term of approval by the user and also the list of those employees at which the order "hung up" on vising.
Implementation in Federal State Unitary Enterprise PSZ of electronic vising of orders in Alfa-HRMS allowed:
- reduce terms of approval of documents on average to 2 days;
- exclude the risks connected with loss of the document, entering of changes into it at an approval stage, leak of the confidential information connected with physical movement of the documents approved "on paper".
