Okil-Sato implemented the automation equipment of digitization of documents

On February 20, 2017 the Gendalf company announced software implementation "Scan Archive" in OKIL-SATO printing house.

The management of holding thought of implementation of electronic archive which would allow to solve the following problems:

• excess expenditure of production areas on document storage (the paper archive of accounting occupies more than 150 m3);
• long preparation for tax audits (accountant officers spent from 5 to 20 working hours for search in archive);
• lack of access to viewing documents in branches of the company at the staff of the main office.

For project implementation the solution "Scan Archive" developed by GENDALF company was selected. The program has the status "1C: Compatible" therefore at solution integration with "1C: Management of manufacturing enterprise 8", set in holding, problems did not arise.

Document handling happens in electronic archive as follows now. The program appropriates to each entering and outgoing document an individual barcode which registers in Skan-Arkhiva base. Then the program synchronizes the scan of the document with 1C and writes the electronic copy in archive. After that the document is available to search in 1C and "Scan Archive" at any time: it can be printed, sent by mail or to check its status.

In the course of software implementation transfer to electronic archive of the manufacturing documentation of holding, agreements with partners, reportings under merchandising and also printing samples was implemented.

In total 200 computers in 7 branches of the company are connected to the program: with 6 input of documents is performed, on 50 there is an access to the created base.

The solution allowed to lower storage costs of archive, to accelerate the movement of documents between regional divisions and remote production sites of holding and also to reduce time for preparation for tax audits for 20%.
