"The Izhevsk mechanical plant" automated document flow in the ELMA BPM system

On December 21, 2017 the ELMA company announced workflow automation in the ELMA BPM system in the Izhevsk mechanical plant.

Workflow automation of IMZ began with three main circuits:

• Setup of the module of task management and performing discipline.
• Automation of work with organizational and administrative documentation.
• Contract management.

Heads of divisions of the plant, staff of IT service, specialists of department of organizational development and legal department actively participated in an implementation project of ELMA. Other employees were connected as necessary.

Project Results

Thanks to automation the number of paper documents at the enterprise was considerably reduced. Certainly, there was a documentation meeting the requirements of the legislation.

Automatic problem definition

Based on administrative documentation instructions to contractors form. If in the text of the order is responsible, the specific objective and term of accomplishment – a system automatically sends order to the contractor. The notification on a task is received by the employee and his direct heads.

Optimization of routes of document flow

It is the most significant stage within automation of work with agreements. She in a varying degree mentions each department of the plant – it is possible to provide what number of personnel is involved in this process. Having analyzed requirements and wishes of specialists of different services, IMZ revealed more than 200 routes of the movement of contractual documents. They were optimized. Today in the ELMA system 6 areas of work with agreements and 20 routes of the movement of documents are configured.

Electronic office

Processing of the entering and outgoing correspondence of IMZ – not a trivial task. Flow of letters huge. Setup of electronic office, allowed to unload the secretariat of the enterprise. In work there was an order, and official correspondence is conducted only by those specialists to whom this right is delegated.

Security

Access rights to documents in a system and powers on accomplishment of actions for business processes are strictly differentiated. IMZ treats the enterprises of military industrial complex therefore security – the basic moment.
