On April 21, 2017 the Directum company announced implementation of DirectumRX in the French international company Groupe SEB.
Project Goals and Objectives
In 2016 in Groupe SEB there was a question of replacement of the operating electronic document management system: there was already not enough its functionality, in the company it did not develop in any way, and the cost of updating was equal to the cost of the whole project.
When choosing EDMS the main criteria became:
- possibility of implementation in a short time;
- wide basic functionality;
- ease and convenience of work both to the user, and to the administrator;
- perspectives of further development.
Functionality "from a box" and really intuitive user interface DirectumRX allowed the customer to decide on the choice quickly. And as the company international, additional plus became support of work on an angliyskomyazyka.
Approval process automation – depending on an agreement type stood the main task and a byudzhetoderzhatel a certain standard route should be selected. This requirement managed to be closed already in basic functionality of DirectumRX with the minimum settings.
Additional settings
In connection with specifics of a company performance it was required to configure additional condition of approval: if under the agreement the payment deferral is possible less, than for 45 days, then it needs to be approved with the chief financial officer. Now in cards of the agreement and additional agreement there is an obligatory field of "Days of a delay", and in settings of a route the condition of "Days of a payment deferral" appeared.
Project Results
The mechanism of an insert of a logo of the company in contractual documents in the form of the watermark was implemented: after final approval of the agreement and before printout for the signature in the document the watermark of "SEB" is substituted. So the signer understands that before him a final version of the document with the changes approved with all responsible persons.
Implementation included two stages:
- Research and GAP analysis.
- Modifications, consultations on setup and support of test operation.
Setup of a system was carried out with consultations of specialists from DirectumRX: the chat with the working group of the customer and project team of DirectumRX was organized online. It helped to react quickly to questions and to control setup of a system. And using remote connection to servers through RDP (remote desktop protocol) and Team Viewer audit of setup was booked and recommendations were made. Trial operation took place already without participation of specialists of DirectumRX.
Project Results
Based on a system process is completely automated contractual. The implementation project on 180 users took two months, and trial operation took place without participation of specialists of DirectumRX.
