Transneft - Prikamye (ABBYY FlexiCapture)

2017

On May 23, 2017 the Business Logic company announced the project of creation of the electronic storage of documentation (ESD) by request of JSC Transneft — Prikamye.

Project Tasks

The head office and five branches of customer company on thirty production sites, with participation of 2.5 thousand users process monthly ~ 85 thousand primary finance documents. Processing of this and also various technical documentation cannot effectively work without use of technologies of electronic document management^[1].

For creation of a basis of paperless document flow in JSC Transneft — Prikamye works on the organization of a complex of electronic archives on a technology platform of IBM FileNet began. Functions of the accounting system are assigned on "Galaktika ERP", scanning, recognition and verification happen to ABBYY FlexiCapture help.

The contractor of the project on a competitive basis selected Business Logic company.

Project Progress

Specialists of the contractor developed two technological solutions on the general platform — electronic storages of finance and technical documents. For May 23, 2017 replication of solutions is executed.

Because the most part of documentation appears directly on production facilities, and accounting is in branches or at the central office, there was a huge flow of physical documents which carried from remote platforms. Project Results

As a result of project implementation the quantity of errors was reduced, the archive of primary financial documentation integrated with the accounting system is created. Each document undergoes triple testing — the operator of verification, the curator and the accountant, and the system of stream input allows to reduce errors practically to zero in comparison with reprinting of data manually.

Overall total values:

• it became simpler to respond to the requests of regulatory authorities. Document retrieval and formation of selections at the request of regulatory authorities are simplified.
• security increased, disk capacity was released.
• in electronic archive the system of determination of access rights to documents according to regular structure, on document types works. Curators can see documents on the objects, lawyers and accountants — to participate in business process and, for example, to see all agreements. The centralized storage allowed to leave from the file archives which are spontaneously created by divisions with copies of documents.
• business processes are optimized. With implementation of electronic archive need of delivery of paper originals in the centers of processing is eliminated each three days.
• on remote platforms the additional centers of scanning are created, the personnel are trained. 99% of documents are entered into CIS of EHD directly in places of formation, it lowered traveling and transportation costs, the general time of a registration and delivery of documents was reduced.
• input of different document types is automated.

The electronic archive became "a uniform source of the truth" — an information resource with high level of confidence and convenient access. As a result, the number of appeals to archive behind paper originals of documents decreased, terms were reduced and the quality of the works performed using technical documentation increased.
