The BaltTransServis company made the decision on creation of the portal for consolidation of employees and the solution of the following tasks:
- operational providing complete and up-to-date information about the processes happening in the company,
- structurization of information, its accumulation and use, - providing additional opportunities for personal and collective interaction of employees.
Solution
The Conteq company suggested to implement the project on the Microsoft SharePoint platform, having used the boxed solution Conteq IntraSpace and also the specialized boxed solution – the module HelpDesk with processing of requests in a support service. Creation of the portal allowed to solve several key problems - to integrate and structure information resources of the company, to optimize communicating processes between employees at office, to automate processes of control of execution of instructions of the management, to create a common information space.
Result
The main objectives which managed to be reached during creation and implementation of a corporate informational portal:
1. Ensuring relevance and minimization of time delays in distribution and bringing official information to employees is reached at the expense of the solution of the following tasks:
- placement on the portal of the approved organizational and administrative documents;
- placement on the portal of normative reference documents;
- use of information components: News, Events, Event calendars, etc.;
- providing convenient and effective search capabilities of information on external and internal corporate resources;
2. Increase in effective management of personnel and creation of conditions for support of a feedback with employees:
- publication of the reference information HR department;
- adaptation sections for new employees;
- the training sections;
- use of components of Polls, Forums, operational service of support.
3. Providing operational services:
- placement of requests for transport;
- placement of requests for courier services;
- placement of requests for business trips;
- armoring of resources.
4. Ensuring uniform approach to formation and structuring information space:
- the centralized access to the structured information resources of the enterprise;
- placement of forms and templates of different document types.
5. Providing additional opportunities of personal and collective interaction of employees:
- use of work areas for departments and directorates;
- use of the personal websites of employees.
6. Ensuring targeting of providing information and the performed information mailings and interactivity
- use of a possibility of personalisation of the SharePoint platform.
