The company management made the decision on start of the project on system implementation of project management of Microsoft Project. The choice of a product was caused by existence in a system from Microsoft of all set of functionality necessary for the solution of assigned tasks. A partner in implementation was the Conteq company having long-term experience of automation of retail and being the certified partner of Microsoft corporation in Russia in the project direction is selected.
Purposes and tasks projects
- Creation of the uniform data warehouse of the project portfolio of the company which is regularly collecting and accumulating information on different indicators of projects: the calendar schedule, corporate design entities (risks, questions), settlement indicators of KPI and the loudspeaker on them.
- Increase in efficiency of use of own resources.
- Quality improvement of accomplishment of plans of projects.
- Cost optimization on attraction of external resources.
- Reducing costs for reporting on projects and increase in quality of reports.
- Reducing costs for long-term and short-term planning, calculation of KPI.
- Increase in accuracy of the information about the project progress.
- A possibility of fixing of data on projects in the Russian and English languages, at the same time, for the purpose of reduction of labor input of project managers on preparation of bilingual reports for Russian-speaking and English-speaking users.
Solution
The project management system based on Microsoft SharePoint, allowed to plan more carefully works and loading of resources to project managers, to collect actual data about accomplishment of tasks from each contractor. Also, thanks to the solution Microsoft SharePoint, the possibility of centralized operation by resources appeared the speed of formation weekly the status reports and the summary reporting under projects increased. The project management system allowed to create automatically the status reports and to approve them with a project team, directly in the system. Within the project on creation of an end-to-end system of the reporting of projects the following works were performed:
- the uniform data warehouse for collecting and information storage on the project, including data from the schedule of the project, data from the website of the project and settlement indicators which are calculated on the basis of project data of the last saved periods is created;
- the reporting system created based on Microsoft Project is developed and designed;
- the electronic form of weekly project reports (Project Status Report), with a possibility of unloading in a format Excel and Word in the English and Russian languages is developed;
- user training Tape is provided by experts of Conteq company.
Project Results
In a project deliverable the universal information platform for project management and resources of the company allowing to increase the accuracy of planning and efficiency of use of own resources was created.
- Own KPI system by efficiency of use of resources is developed and implemented.
- End-to-end planning process not only projects, but also all works on development of the IC is organized.
- It is organized uniform information spaces for project managers, functional managers and contractors within array structure.
- Complex weekly monitoring of project implementation and the analysis of their dynamics, at the expense of the organization of the certain data warehouse is implemented.
- Calculation of the statuses of project tasks, on the basis of the complex analysis of planned and actual project information is automated.
- Formation of weekly project reports perhaps, both in Russian, and in English in the MS Word format.
