Content

In in view of territorial separation of shops and offices of the company, the additional tool which would allow to create a common information space for interaction of employees was necessary for Korablik. In Korablik company the personnel in shops were are information are torn off from the central office, and as the instrument of data exchange and dissemination of information only e-mail was used that reduced efficiency of activity and created a large number of routine transactions.

Purposes and tasks projects

For IT the department of Korablik retail network set the task – to select and implement the information system integrating all staff of the geographically distributed company. It was necessary to create an interaction environment for 200 people at the central office, and also for the staff of 40 shops, on 5-6 people in everyone, and in the long term having an opportunity to function at increase in number of shops up to 100. The information system had to automate workflows, organize joint work and perform functions of dissemination of information on the company. Besides, it was necessary to bring together news and event calendars of shops and office and to create conditions for exchange of views in the company.

Solution

The reference platform for creation of a corporate portal of the company selected Microsoft SharePoint Server. Functionality of Microsoft SharePoint Server completely met the requirements to the platform for the organization of interaction between employees. The basis of the solution was formed by a shrink-wrapped software product – a packet approved the component for SharePoint created by the Conteq system integrator having the necessary level of examination and being the golden Microsoft partner. Conteq Intranet Portal allows to unroll quickly a corporate portal of the organization based on SharePoint. Also, the portal includes standard structure of navigation which it is possible just to change quickly and and to configure according to specific objectives. Using Conteq Intranet Portal sections the company, employees, divisions, shops, our life and requests were created. For automation of processing of primary documentation the special SharePoint component was created. The component, allows to implement the structured storage, to perform processes of collecting and processing of primary documents, search and the regulated access to them with the following key features:

  • creation of a hierarchical structure of storage of any nesting level,
  • creation of the electronic document – filling of a registration card,
  • accession of an electronic image of the document by means of scanning of the original,
  • creation of the set of documents (compound document) having the registration card and containing other documents with the sets of attributes on the basis of data in the ERP system of Microsoft Dynamics Ax
  • content management (competitive access, version control, recovery after removal),
  • the access control allowing to appoint access rights to role groups to documents and also to define access at the level of separate documents and users
  • subscription for notifications about adding / change / removal of documents in archive,
  • setup of the personalized and general submissions of document lists using filters and grouping,
  • search in attributes of documents and full-text search in contents of documents,
  • support of audit of events – setup of tracking of such events as viewing, change, extraction/return, removal/recovery of documents.

Result

The corporate portal of Korablik retail network integrated all staff of the company. Now the staff of the central office and 40 geographically distributed shops got access not only to official information, but also had an opportunity to exchange photos, declarations and events. Automation of processing of primary documents, guaranteed accurate observance of rules of work, excluded losses and admissions of documents, increased the speed of entering of data into the ERP system and increased efficiency of all retail network.
